Pro: Duplicate a case

Updated over 3 months ago

If you have a case in Guardify that you would like to duplicate for the purposes of using the same evidence for multiple case files, each case has a "duplicate" option. Duplicating a case will make an identical copy of the case and all of the files uploaded to it.

Note: All files in the case must have completed processing for the "Duplicate" option to appear.

To duplicate a case, click the 3-dot menu at the top right of the Case card in your list of cases, and click "duplicate."

You can also duplicate the case if you already have the case open by clicking the 3-dot menu to the right of the "share" button.

Once you click duplicate, the list of included case files will come up with all files auto selected. You can de-select any evidence in this list that you do not want to duplicate.

After you confirm your selections and click "next" you will be asked to confirm the details of the new, duplicate copy of the case you are creating. Any fields highlighted in yellow will come in auto-filled with any details that were filled in for the original case. You can fill in or change any of these fields for the new case, and those changes that are being filled in will not be reflected in the original case.

Note: if you have the Unique Case IDs account setting on, the Prosecutor case ID field will come filled in with the same Case ID as the original case, with a number (1) in parenthesis.

Once you fill in the details for the new case, click "Duplicate."

After clicking the "Duplicate" button, you will be brought back to the original case that you chose to duplicate, and a pop up message will appear that notifies you that your case is in the process of being duplicated. Click "dismiss" to close this message.

When you go back to your list of cases, you will immediately see the new duplicated case in your list of cases. If you open this case and see that there are no files listed in the case, that just means that the duplication has not completed yet, and you will receive an in-app notification when that case is ready.

After a case is duplicated, you are able to edit the case and continue to upload new evidence to it that will not reflect in the case that it was duplicated from. Additionally, the history of your new duplicated case will start from the date that the case was duplicated. Any previous case history on the original case will stay with the original case, and will not be reflected in the duplicate version.

FAQ

After I duplicate a case, if I add evidence to the original case, will those files also upload to the duplicate versions of the case?

No, duplicating a case only duplicates an existing case as-is, and allows for uploading any future evidence to each case independently of each other. For this reason, we recommend waiting to duplicate a case until after you're sure all shared case evidence has been uploaded.

If I duplicate a case, does it duplicate my account storage total?

Yes. Duplicating a case is essentially uploading the evidence in a case again, which will add to your total account storage.

If I duplicate a case, will the duplicated case be shared with the same people that the original case was shared with?

No. Duplicating a case is essentially like creating a brand new case. There will be no share history for your new duplicated case once it is created.
