Transferring cases allows you to assign ownership of a case to a new user, who will then be responsible for managing the case and sharing it with other users. Transferring cases can be done on a single case, but you can also select multiple cases to transfer all at once. With the "Transfer All" user permission enabled, you are able to change ownership of cases from any owner to a new owner in Guardify. This includes the ability to transfer cases from someone else's ownership to yourself.
To do this, click ' Cases' in the lefthand menu and go to the "My cases" tab. Then click the 'Transfer' button at the top right of the screen.
Note: If you do not see the "Transfer" button at the top of your list of cases, the "Transfer All" user permission will need to be enabled in your user permissions first.
After clicking "Transfer" the 'Select New Owner' window will pop up. Search for the person to whom you would like to transfer ownership.
Note: You are transferring ownership to the person you select. You can transfer cases from another user to yourself at this point. Select your own user account here if you would like to transfer cases to yourself.
If you want the current owner of the case to still have access to this case in the 'shared with me' tab, keep the box checked to 'Share this case with the current owner.'
Then click Select.
A table listing your agency's cases will appear. Find Cases with the SEARCH button in the top right corner, or filter cases using the dropdown menu at the top of the list. Sort cases by clicking on the headers at the top of each column.
Select one or more cases to transfer using the check box to the left of each case.
You can Select All Cases on the page or in your filter using the dropdown menu in the header.
When finished, click the TRANSFER button at the bottom right of the page to continue.
You will be asked to confirm the action by typing TRANSFER and selecting Confirm.
Transfer complete! The new owner will receive an email notifying them that cases have been transferred to them, and can be accessed under the My Cases tab when they log in.
The previous owner will also be notified that their cases were transferred to a new owner.
If 'Share this Case with the current owner' was checked, the Case will now appear on the Shared With Me tab of the previous owner.
