Default Share Permissions by Organization Type

Manager users with License Manager access can set default sharing permissions for each of the different organization types directly from the Account Settings page. This allows you to set the standard share permissions that are automatically selected when a new share is added to an interview. With these default permissions selected, the interview sharer can still change and choose different permissions for each share on a case-by-case basis.

Each organization type in Guardify, such as Law Enforcement, Prosecution, CPS, etc, can have default permissions set. To do this, click the 3-dot menu at the top right of the screen and click "Account Settings."

On the Account Settings page, scroll down to the bottom and click the "Default Share Settings" drop down box.

This will open a window showing a list of all possible Organization Types that users can be associated with. Each of these organizations in the list can be edited to have custom default share permissions set.

To edit the default share permissions for each an organization, click the pencil icon to the right of the row of the organization you'd like to edit.

This will open a window with options for setting each share permission.

Default Share Settings Options

  • Share Duration (Days): This will determine the number of days a share is auto populated for when a new share is created. It will default to whatever your account default is set to, but can be set to any number of days for that individual organization.

  • Transcript Access: This will be set to "None" by default, but can be changed to:

    • "View" allows users to view the published transcript on interviews shared with them.

    • "Edit" allows users to view the published transcript, as well as edit their own draft of the transcript.

  • Download Permission: This will be set to "None" by default, but can be changed to:

    • "Original" will give both the original and Guarded Playback download options, allowing the sharee to choose between which download option they'd like to download.

    • "Guarded Playback" will give only the Guarded Playback download option.

  • Files: This will be set to "Video/Audio Files" by default, which selects only the streaming interview videos uploaded to the interview. This can be changed to:

    • None: No files in the interview will be selected by default, making it the responsibility of the sharer to select the specific files that should be shared each time an interview is shared.

    • All Files: All files uploaded to that interview at the time of share will be selected by default.

    • Share All Current and Future Attachments: All files uploaded to that interview at the time of share will be shared, and any additional files that are uploaded after the interview is initially shared will be shared as they are uploaded to the interview, as long as the share is still active.

  • Viewer Agreement: Checking this box will require a viewer to read and accept an agreement before they are able to view the interview. Checking this box can only be done if the viewer agreement is set at the account level, which can be done in the general account settings. A custom viewer agreement can be set up for each org type as well.

  • History: Checking this box gives access to the Interview History panel that shows the complete activity history for that specific interview.

  • Tags: Checking this box gives access to view any public tags that have been created in that specific interview, as well as give the share recipient the ability to create their own tags.

  • Insights: Checking this box will allow the share recipient to see the insights side panel to the right of the video player. This can only be checked if you also allow the Transcript to be shared.

  • Import: Checking this box will allow the share recipient to import a copy of the shared interview into another Guardify account that they have access to.

  • Custom Viewer Agreement: Toggling on the custom Viewer Agreement will allow you to customize the standard viewer agreement to be specific to that organization type. When toggled on, the window will expand to give you a space to customize the agreement to whatever you'd like it to be.

Once you have made you selections for an organization, click "Update" on the changes you've made.

Once you have customized all the organization defaults you'd like to set, be sure to click "Save" on the account settings page at the bottom right of the screen.

Once you have set customized share permissions, anytime an interview is shared with someone of each established organization will have those set permissions selected at the time of share. The person sharing the interview will still have the ability to select or remove any share permission before completing their share.
