This guide explains why rescheduling such interviews may cause synchronization issues between Guide and Greenhouse, and provides steps to properly reschedule the interview to ensure everything syncs correctly.
The Issue
• The rescheduled interview does not appear in the candidate’s Greenhouse profile.
• Interviewers cannot access the scorecard for the rescheduled interview.
• No alerts indicate that the interview is out of sync between Guide and Greenhouse.
Guide cannot reschedule interviews that already have a completed scorecard. Attempting to do so prevents the new interview details from syncing with Greenhouse.
Solution
To resolve this issue, you should create a new scheduling task instead of rescheduling the existing interview. Here’s how:
Create a New Scheduling Task in Guide:
Navigate to the candidate’s profile in Guide.
Instead of selecting the existing interview to reschedule, choose the option to create a new interview or scheduling task.
Schedule the Interview:
Enter all the necessary details for the new interview, including date, time, and interviewers.
Ensure that the information matches what you intend for the rescheduled interview.
Sync with Greenhouse:
Save the new interview schedule.
Guide will now sync this new interview with Greenhouse, allowing interviewers to access the scorecard.
Notify the Interview Team:
Inform the interviewers about the new interview schedule to avoid any confusion.
Alternative Solutions
If you prefer to keep the existing interview you can Delete or Cancel the Original Interview in Greenhouse by:
Go to the candidate’s profile in Greenhouse.
Locate the original interview that has the completed scorecard.
If available, click on the “Delete” or “Cancel Interview” button next to it.
Once deleted, return to Guide and proceed to reschedule the interview as you normally would.
Note: Deleting the original interview may remove the associated scorecard and records, so use this option with caution.
