When scheduling with Guide, all interviews should integrate back to Greenhouse seamlessly. In the event that an interview does not push back to a candidate's profile in Greenhouse, this article identifies the main reasons and solutions to ensure the interview syncs back to your ATS.
Common reasons for an interview not syncing with Greenhouse:
Candidate was moved to a new job requisition after the interview was scheduled:
Interview was scheduled on a rejected application instead of an active one:
Why It Happens:
Interviews scheduled under a rejected job application prevents the interview from syncing with the candidate’s active job req in Greenhouse.Solution:
To fix this, cancel the interview that is associated with the rejected application. Reschedule the interview with the same interview details (time, date, interviewer(s)) under the active job req. Don’t forget to resend the interview invite to the candidate so they receive the updated information, especially if there’s a new video conferencing link.
A scorecard has already been submitted for the interview in Greenhouse:
Why It Happens:
Once a scorecard has been submitted in Greenhouse for a specific interview, Greenhouse considers the interview complete. This prevents Guide from pushing updates or rescheduling interviews into that slot.Solution:
To fix this, cancel the interview that is associated with the rejected application. Reschedule the interview with the same interview details (time, date, interviewer(s)) under the active job req. Best Practices for Avoiding Sync Issues
Always ensure the candidate is associated with the correct, active job req before scheduling or rescheduling interviews in Guide.
If a candidate is moved to a new req, use the "Link Interview" feature in Guide to link it to the new req in Greenhouse.
Avoid scheduling interviews under rejected applications, and always check that the candidate’s application status is active before proceeding with any scheduling.
