Overview

The Project Overview is a critical component to understanding the state of a project. Our redesigned Overview tab provides a way for you to see the overall progress of the project and share updates with your internal team and customers.

User Access

  • Internal users with project visibility all have access to the Overview tab

  • Customer users with full plan view have access to the Overview tab. Customers who have Portal access don’t have access to the Overview tab

What's New

The Overview is now fully widget-based, giving you complete control over what you see. You can select and hide widgets to tailor the view to your needs. Currently, there are six different widgets available, all manageable via the gear icon.

The Overview tab features six distinct widgets to help you monitor and manage your projects. Here's how each one functions:

Project Metrics: This displays all of the critical information related to the project including Project Status, Start and End Dates, and Durations.

Internal Project Invitation: This widget allows you to create language that is specific to your internal team members that will be included in the Project Welcome email when they get invited to a project.

Customer Project Invitation: This widget allows you to create language that is specific to your customer users that will be included in the Project Welcome email when they get invited to a project. Allows you to target them with more robust messaging if needed.

Internal PM Note: This widget allows you to share a summary of the project, but is only visible to internal members of your team. This provides a space where you can be a bit more candid in discussing potential risks or concerns.

Project PM Note: This widget allows you to share a summary of the project for customer users.

All users who receive the weekly Overview email will also see the contents of the PM Note for projects they are a part of.

Project Messages: This widget shows all Messages in the project channel. This is a shortcut to see what has been shared. If users need to see Task channels, they will need to navigate to the Messages tab in the Project.

Rich Text Editor

Our Legacy PM Note used a basic rich text editor (RTE) that supported some formatting and hyperlinks. The new RTE in GUIDE 2.0 includes all previous functionality, plus the ability to embed YouTube videos and leverage project-level custom fields.

Embedding YouTube videos allows teams to share rich video content directly within the PM Note—perfect for training clips, project updates, and more.

Even more impactful is the addition of project-level custom fields, which enable merge tag functionality to dynamically share data stored in those fields. Since most users consume the PM Note through the weekly Overview email, the ability to automatically populate and share project-specific details with the right stakeholders makes this feature especially powerful.

Note: The new rich text editor is also available within the Internal Welcome Message and Welcome Message widgets. As a reminder, these welcome messages are not sent to customers or internal users until a project moves out of the Pending status.

Additionally, Task Instructions now use the same rich text editor, enabling embedded YouTube videos that can enhance customer engagement—especially when guiding users through complex or challenging tasks.

FAQ's

Why are there two different PM notes?

One of the major benefits to having both an external and internal PM Note is that you can have different messages to different audiences. The Legacy PM Note, made you choose to either have an External note or Internal Note, but it didn’t support both.
