Overview
Resource Management empowers Admins, Managers, and Guides to ensure the right tasks are assigned to the right people at the right time. You can now assign Roles (formerly known as Functions) to both your internal team members and customer users (new functionality)!
While you won't see estimated or customizable user capacity at launch, these features are planned for a future release.
User Access
Admins, Managers, & Guides can access and see the capacities of all resources associated with their projects.
Admins and Managers can set up the Resource Management feature, assigning functions to internal team members.
Task Owners and Contributors will not be able to see the "Resource Management" page in the navigation bar of GUIDEcx.
All internal users have the ability to reassign their own tasks by role.
Customers and Third Parties do not have access to any Resource Management capabilities.
Why "Roles" Instead of "Functions"?
This new Resource Management experience introduces Roles to lay the groundwork for a more robust and customizable permissions system. While permissions won't change at launch, this new model is crucial for future enhancements, allowing for more granular control over user access.
All future permissions will be tied to a Project Role. These roles will exist on each project, immediately replacing "Functions" and enabling automated task assignments. In the future, a role could grant permissions as specific as a project-by-project basis.
Project Roles
Project Roles are a direct replacement for Functions and are simple to manage. On the Project Roles page, click the "+ Add Project Role" button in the upper right. A new line will appear, allowing you to type the role name. Then, click the "Assigned Members" icon to select which users should be assigned to that role. To edit an existing role, simply click on its name.

Customer Roles
We're also introducing a more robust version of Customer Roles in this new Resource Management update. Previously, Customer Roles were just labels on the Team tab used to identify why different customers were on a project. Now, Customer Roles will be actively used for automated task assignment.
Providers can create various Customer Roles within Resource Management, which can then be used in Templates. Automatic task assignment for these roles will occur via the new Team page. A key difference between Project Roles and Customer Roles is that Customer Roles aren't assigned to users within the Customer Roles table itself; all assignments happen within individual projects.
