Overview
The Projects page is the “landing page” of GUIDEcx, and the first thing you see upon logging in. The Projects page is used to summarize project details and is the only place in the UI where you can create a project. GUIDE 2.0 introduces new functionality to projects including a simpler project creation flow, and new project "pending" status.
User Access
Admins, Managers, and Guides can create projects
Admins and Managers can view all projects
Guides, Task Owners, and Contributors can view projects where they are a team member
Layout
The Projects page contains a list of the projects that you have access to. Similar to our Legacy version, the visibility of projects is based on your license type and/or projects you have been invited to. When it comes to navigating the page, you will notice we have moved to a traditional pagination method rather than infinite scrolling, this provides a more performant experience.
Note: Right now, both the Legacy project experience and the new GUIDE 2.0 experience exist in the application to give users time to experiment with the new flows, and drive adoption with teams.
All of your current projects will be visible on the Legacy projects page "V1". Only newly created projects ("Projects v2") will be visible on the GUIDE 2.0 Projects page, and feature the new functionality detailed below.
You can easily navigate between the Legacy experience (Projects V1) and the GUIDE 2.0 experience (Projects v2) by clicking on the button in the right corner of the Projects page.
**Note: Your Projects v2 page will be blank until you create a new project.
Project Creation - New Flow
A core element of the Projects page is the ability to manually create new projects. Our Legacy version used a four-step wizard, but in GUIDEcx 2.0, we've streamlined this into an inline experience.
The primary benefit is nearly instantaneous project creation, with fewer inputs that might not be relevant to your specific process.
For projects created in the Legacy environment, you'll still see the familiar Wizard-Drawer experience. However, for projects created in v2, you'll have two new, efficient options:
Quick Create Project
Choosing Quick Create Project gives you an immediate, blank project canvas to customize. As you'll see in the screenshot below, all adjustments are made through intuitive inline editing.
We recommend these best practices to get started:
Rename your project right away from "New Project" to something descriptive
Select a Customer for the project
Begin building your project plan! You can add Phases, leverage the new Task/Milestone Library, or create tasks and milestones from scratch
Create Project From Template
This option aligns more with our Legacy experience. You have the option to select a Project level template template to build a new project. Your legacy templates will be converted to "Project Templates". You can view these in the Template Library.
A Project Template is a collection of multiple phases (milestones, tasks, etc.) and includes the custom language used on the Project Invite Email.
Once a Project Template has been selected, you can give the new Project a name. The default name is the name of the Project Template you are using. Renaming the project helps keep better organized.
Now that your project has been created, you can in-line edit to add Project Name, Customer, Project Manager, etc.
Pending Status
GUIDEcx now features a new "Pending" Project Status for all newly created projects. This status gives Project Managers the flexibility and time they need to fully organize a project—adding or removing milestones and tasks as required—before it goes live. This also allows for better project dispatching and clearer insight into potential resource constraints.
What happens to a project in Pending status?
No emails (e.g., Project Invite) will trigger when a project is in "Pending" status. Once the project is moved to another status (e.g., "On Time") users will receive the proper email notifications.
Only Admins, Managers, or Guides who are the PM of the "Pending" project will see it displayed on the Projects Page. For all other users, it will not display, ensuring no one is accessing or working on a project that isn't ready yet.
The Global Tasks page will filter out tasks for "Pending", keeping users from accessing the project tasks ahead of time.
Searching Projects
Our search functionality focuses solely on project names within the new experience. It's important to note that projects created in v1 are not searchable or visible in the v2 experience, and vice versa.
A key improvement is that search results are now shareable. You can simply send the URL to another user, saving them the effort of conducting the same search.
Filtering Projects
Similar to our Legacy page, we have a variety of filtering options available in GUIDE 2.0. Rather than using a drawer to filter, all filtering is in-line and accessed via the “+” button next to Search.
The most significant enhancement to filtering on this page is the new "Is not one of" filter type. This is a vast improvement over our Legacy filtering, where you often had limited functionality and had to make multiple selections to achieve your desired results. Now, you have more precise control over your project views.
The ability to save your custom filters is still here! Once you've configured your project list exactly how you want it, simply click the "Favorites Star". You'll then be prompted to name and save your filter. To quickly apply a saved filter in the future, just click the "Saved Filters" button and select your desired option from the list.
Similar to our search capabilities, you can now filter your view and share the URL with another user. When they open the link, your applied filters will automatically load, saving them time and ensuring they see the exact view you intended.
Bulk Actions
Bulk actions function in a similar way to our Legacy experience. The primary difference is that selection boxes are visible all of the time rather than just on hover. The only two bulk actions available in GUIDE 2.0 at this time are Reassign Project Manager and Delete Projects.
Column Configuration
This functionality works just like our Legacy version. You can customize your view by clicking the "Columns" button and selecting which Custom Fields you want to display. Feel free to drag and drop column headings to create your own unique preferred layout. This is an individual setting, so your configuration won't affect other users.

You'll will notice that we don’t yet have a version of Gantt View in GUIDE 2.0. This feature is coming soon!
Status Change Reasons - We haven’t added the full robust version of Status Change Reasons yet to our new Project List page. However, we do have an initial version that prompts users for a comment if a project is marked as Late, On Hold or Canceled. This version provides a description but not the full granular experience of different Groups and Reasons. This initial version also doesn’t have any Reporting built around it.
