Overview
We're excited to introduce Project Plan View v2! The new view was built to make project planning faster, reduce clicks to edit, and create a more streamlined workspace.
Key Changes
Here's a quick rundown of what's different:
🚀 More Speed & Efficiency:
Inline Editing: Create new tasks and update status, assignees, and dates without opening the drawer.
Auto-Save: Your changes save automatically as you work – no more manual saving!
Background Navigation: Move between tasks without closing and reopening the task drawer.
Cross Template (Phase) Dependencies: Tasks in one Template (Phase) can now be dependent on a task in a different phase, without an integration in Recipe Builder.
New Text Editor: The task details pane is now responsive, adjusting as you type.
Unit Library: Save tasks, milestones, and phases to a Unit Library that can be leveraged and reused when building out projects and templates.
Messages: Our Notes experience is leveling up to Messages, making customer engagement even easier. Enjoy new functionality including threaded replies and “Save for Later”, while still leveraging foundational pieces like “Mentions.”
📝 Terminology Updates:
Templates are now called Phases (saved blueprints for project sections).
Task Groups will be converted to Tasks that can now have Subtasks. These subtasks are more powerful – they function like full tasks (assignees, due dates, etc.).
Third-Party Members are now called Partners.
✅ Enhanced Features:
Tags: Easier to add to tasks.
Durations: Set start and due dates using durations.
Coming Soon:
Event Tasks and Participant Tasks will be available in some form in the near future
Checklists
General Navigation
Let's take a look at how to navigate and edit the project plan.
Header: This new header allows for an inline experience while displaying much of the same information that exists in our Legacy header.
What can you in-line edit?
Project Name
Customer Selection
Project Start and End Date
Project Status
Project Manager
Team Members
You can also navigate to any of the following Project tabs:
Overview
Messages
Team
Attachments
Custom Fields
History (new version of Activity Log)
Hierarchy Within Plan View
The hierarchy of GUIDE 2.0 is slightly different from our Legacy experience.
Legacy Hierarchy:
Project
Template
Milestone
Task Group
Task
GUIDE 2.0 Hierarchy:
Project
Phase (Templates have simply been renamed)
Milestone
Task
Subtask
What happens to my templates?
Any of your existing templates that have Task Groups with Tasks in them will be converted to Tasks and Subtasks.
All existing templates will be converted to Project and Phase templates, available in the new Template Library.
Task Cards
Task cards contain critical information about how to complete the task. These include the Task Name, which if clicked opens the Task Drawer, Assignee, Status, Due Date, Responsibility indicator, Tags, and Dependency indicators.
Status is housed in the colored dot in the upper left corner. The Assignee avatar will display the user’s image or initials or be vacant if unassigned. The indicator in the bottom portion of the avatar displays whether the task belongs to your organization, the customer’s organization or a Partner organization.
The Date displayed is the Due Date and will be in red if it is past due.
Tags are aligned at the bottom of the card. Dependency indicators on the right side of the card have hover states to let you know what is blocking the task and what future task is blocked by this task.
The card will be shaded yellow if the task is Hidden.
This new card allows for a variety of in-line edits. Plus, there is a full context menu of additional options that can be accessed by a kebab at the top right of the card (appears on hover).
Filtering
Inside of the Plan View there are a variety of filtering options. These are accessed via the “+” icon next to the “Search” field. Here’s the list of options:
Assignee
Status
Tags
Visibility
Responsibility
Users can also Search by the name of Tasks or Subtasks.
Bulk Actions
If a user clicks on a task someplace other than the name, they can start to select individual tasks and it activates the ability to bulk edit a group of tasks. Users can bulk edit the Status, Assignee or Tags of the selected tasks.
Project Details Drawer
What happened to the Project Details drawer?
The Details drawer was removed because many of the actions users would take in the drawer have been moved to inline edits, such as Project Name or PM assignment. Another primary reason users accessed the drawer was to populate custom fields. That work is now all done directly in the Custom Field tab of the project.
Project Plan Views
Both Board View and List View have been redesigned. Gantt View is coming soon - with quite a few enhancements we know you'll be excited to get!
