Manage and close a breakout room
Once an ad-hoc breakout room exists in your Virtual Emergency Operations Centre (VEOC) session, any participant can manage its membership, surface messages to the main Forum, and close it. Rooms contain the chatter without trapping what the wider group needs.
Before you start
You need to be a participant in the room. Admins can add themselves as participants to any breakout room. To create a room first, see Create and join an ad-hoc breakout room; membership rules for structured rooms differ, see Activate a structured breakout room.
Add or remove participants
In the room, open Manage Room.
Check a name to add a participant; uncheck a name to remove one.
On mobile: tap the room, then Manage Room. Select a name to add, tap (x) to remove, then tap Update to accept the changes or Close to cancel.
Share a decision to the main Forum
Two ways to surface something the whole session needs:
Cross-post. Turn on the Cross-Post option before sending a message to post it to both the room and the main Forum at once. Attachments can be cross-posted too.
Share an existing message. Hover over a message and select the Share icon to send it to the main Forum. On mobile, hold the message down and choose Share from the pop-up menu.
Close a room
In the room, select Close Room.
Confirm. Any user who belongs to the room can close it.
Closing cannot be undone, and closed rooms still count toward the session's three-ad-hoc-room limit. Close deliberately.
Records and visibility
"Private" means uncluttered and access-controlled, not off-the-record. Every breakout room is captured in the session report, time and date stamped, and rolls into the complete package at the end of the session. Breakout room content in the report is visible to Admin and Super Admin users only. See View session and attendance reports.
