Once your Cornerstone Integration is configured to pull appointments into HappyDoc, you're ready for the next phase of integration which enables HappyDoc to export a record directly into the Enhanced Medical Note in Cornerstone.
There are few steps required to configure the integration between HappyDoc and Cornerstone. These steps will need to be performed on your Cornerstone server.
Set up your document with a formatting you are happy with! Detailed instructions about the Document Builder can be found here.
From your Cornerstone server, open a web browser and log in to HappyDoc. Navigate to Settings > Integrations and download the Agent via the Download Cornerstone Agent link. Unzip the installer to a folder (Extract All). Double click setup.exe to install then run HappyDoc from the Start menu. You will see the following Configuration screen once install is successful.
NOTE: this must be done on the server itself. If you get a security warning, click "more info" and then "run anyway"
Click the blue gear icon to automatically populate most of the settings.
Populate the Account ID and API Key which can be found in your Settings page.
Change any of the optional settings, if desired.
Default document status: Changes whether the record is exported to Cornerstone is Draft, Tentative or Final status.
Include visit date: Optionally, include the visit date in the title of the Enhanced Medical Note in Cornerstone. Unfortunately, records that HappyDoc writes into Cornerstone do not allow their date to be changed.
Auto-finalize: Sets the number of default days before a record is auto-finalized in Cornerstone.
Click Save and look for the Successful status. HappyDoc should now be connected to the Cornerstone database which enables us to sync files!
Click Close (X) and the app will continue to run in the background. If you need to return to the settings page simply start the HappyDoc app from the Start Menu again.
Next, you'll want to link an export template to your custom document. This does not need to be done on the Cornerstone server.
Navigate to Settings > Documents and select the desired custom document.
Note: If you want to set up HappySOAP for export, simply click Create Custom, choose HappySOAP, rename the document and set it to active. This creates a custom copy of HappySOAP that we can connect for export.
Click "Link Export Template", choose your desired format and font.
Note: The preview image does not reflect font choice or your specific document fields. It simply gives you an idea of the layout of the fields in your export template.
Once you have linked an export template, the template will automatically update in association with document edits (i.e. new fields, custom instructions, bold field titles, etc). If you decide that you want to change the font or layout of the document (i.e. center align your objective section), simply click "Change Export Template" and make your new selections.
Now you're ready to test your HappyDoc <> Cornerstone connection!
From HappyDoc, select a sync’d appointment from a recent day. You'll want to ensure there is a document generated which corresponds to the document selected in step 1 above.
From your icon bar at the top of the document, click Export.
NOTE: The Export button will only show IF: 1) your export integration is configured, 2) There is an export template linked for the document you generated, 3) your HappyDoc CSM configured the doctor for export, and 4) the appointment was sync'd from Cornerstone or has a valid Patient ID.
In Cornerstone, open the relevant patient clipboard. Double click on the HappyDoc row!
Troubleshooting / FAQs
Q: I don't see an Export button in HappyDoc?
A: There are 4 requirements in order for the Export button to show: 1) your account is configured for export (you downloaded the completed the install according to the instructions at the beginning of this article), 2) the appointment must be sync'd into HappyDoc from Cornerstone OR have a valid Patient ID that matches an ID in Cornerstone. 3) the Doctor must be configured for export (your CSM can help with this) and 4) the document you are trying to export must have an associated export template.
Q: I see a URL in Cornerstone when I export instead of a document.
A: This likely means that the HappyDoc service isn't running on the server. On the Cornerstone server, navigate to the Start menu > HappyDoc setup > Status tab. Confirm that the 2 checkboxes at the top for the database and the service are checked. If either one in unchecked, click back to the Configuration tab, click the blue Save button. This will restart the service and you should be up and running. If these steps don't work, please capture a screenshot of the Status tab and share it with support.
Q: Can I use the Cornerstone export functionality with mulit-pet appointments?
A: No. Unfortunately, at this time, export only supports single pet appointments. If you'd like to use a workaround, you can rename Patient A to "Patient A and B" ... this tells HappyDoc to process the recording as a 2-patient appointment. Record your visit as usual and you'll see documents generated for both Patient A and Patient B. Click export for Patient A's document and it will be exported to Patient A (aka, the PatientID you see at the top in HappyDoc). Copy / paste your record for Patient B.
Q: Can the row in Cornerstone be colored so that my HappyDoc record stands out from the other rows?
A: No, not at this time.
Q: Can I change the date associated with the record in Cornerstone after export?
A: No, not at this time. However, in the HappyDoc Agent settings, you can choose to include visit date in the title of the document upon export which will display in Cornerstone.
Q: Which of my Cornerstone templates does HappyDoc populate?
A: HappyDoc's export uses its own template which is derived from your custom document created in the Custom Document Builder. You cannot see or edit this template in Cornerstone. If you want to add or remove fields from your export template, first add or remove those fields in the Document Builder, then alert support. We will update your export template accordingly.
