How does HappyScribe work

Learn how HappyScribe works: let the AI Notetaker record and summarize your meetings, record in person, or upload files for transcripts and subtitles.

Written by Simon

HappyScribe turns your recordings into transcripts, summaries and notes you can search, edit and share. Most people start with the AI Notetaker, which joins your online meetings for you. You can also record in person, or upload audio and video files for transcripts and subtitles.

Getting started

After you sign up, confirm your email address to continue. You then land on Home, where four quick actions cover everything HappyScribe does:

  • Record online meeting: send the AI Notetaker to a Zoom, Google Meet or Microsoft Teams call.

  • Record audio: record in person, straight from your browser.

  • Transcribe files: upload audio or video and get a transcript.

  • Add Subtitles: upload a video and get subtitles.

Record your meetings with the AI Notetaker

The AI Notetaker joins your Zoom, Google Meet and Microsoft Teams calls, records and transcribes them, and emails you a summary when the meeting ends.

Connect your calendar

  1. Go to Home.

  2. Connect your Google Calendar or Outlook Calendar.

Once your calendar is connected, the Notetaker can join meetings that have a video call link. Choose which meetings it joins in your workspace settings, under My meetings > Notetaker auto-joins.

Invite the Notetaker to a single meeting

  1. On Home, select Record online meeting.

  2. Paste the meeting link.

During and after the meeting

  • Let it in: the meeting host must admit the Notetaker and grant it permission to record. Admitting it on its own isn't enough to start recording.

  • Get your recap: after the call, you receive an email with the meeting summary and transcript. The meeting is also saved in your HappyScribe account.

For every setting, including who can see your meeting transcripts and who receives the summary, see AI Notetaker 101.

Record in person

For interviews, lectures or meetings in a room, record the audio directly and HappyScribe transcribes it when you stop.

Transcribe or subtitle a file

  1. On Home, select Transcribe files, or Add Subtitles if you need subtitles.

  2. Select the file or files you want to upload.

  3. Choose the language spoken in the file, which improves transcription accuracy.

  4. Confirm to start. You'll see the estimated time until your file is ready.

Your file is usually ready in about half its length. We email you when it's done.

Review, edit and share your work

  • Open it: when the in-progress icon on your file changes to a transcript or subtitle icon, select the file to open it in the Editor.

  • Proofread: the Editor plays the audio in sync with the text, so you can check and correct it as you listen.

  • Ask questions: use AI Chat to get answers, action items and quotes from your transcripts and meetings. See the AI Chat article.

  • Export or share: download your file in the format you need, or share it with your team.
