Regenerating an invoice is a way to refresh the invoice and capture work orders that were not previously included.
What Work Orders can be included in the regeneration of an invoice?
Any Work Order associated with an On Request service that has been marked Ready for Invoice.
Will the work order from a recurring service be updated when you regenerate?
Only if there is a change to the service
Example: You've created an advance invoice for July. The recurring service was originally set to start July 1st however the customer has indicated that the service will start a week later. After you have updated the service dates, you can regenerate the invoice so that the customer is prorated for the dates of service.
Can you select what work orders will be included when you regenerate?
No. At this time, when you regenerate an unpaid invoice any Work Orders that are set to Ready_For_Invoice will populate on the invoice you have regenerated. You cannot select specific Work Orders to include.
Can you regenerate a paid invoice?
No. Once an invoice is paid it cannot be regenerated / edited or deleted.
You've regenerated an invoice that captured Work Orders you were not ready to bill the customer for. What do you do?
You will need to delete the invoice. Set those Work Orders to Not_Ready_For_Invoice and recreate your invoice.
You've created an invoice and regenerated, but several Work Orders (WO) are not on the invoice, why?
Most likely this is due to the services tied to that WO have been deactivated on the customers profile.
Example:
You have a customer with some recent on request services.
These Dump & Returns are complete and the Work Orders have been reviewed and set to Ready for Invoice.
Before these services were added, the customer had already been sent their advanced invoice for the month, however they have not paid the invoice yet.
If you regenerate the invoice, this will update the invoice to reflect the recently completely on request services.
Lets say the customer does not have a recent open invoice, only one that is older and significantly past due. If you regenerate this invoice with those same Work Orders marked Ready For Invoice, the invoice you regenerate will now have the new work orders added.
