The improvements to notes include realtime app updates to notes on mobile. The mobile app must be updated in order for this feature to work. With the realtime updates, the driver will not have to sync the app in order to see a newly added, edited or removed note.
Please ensure all tablets are updated with the 1.14.2 version of the app (or newer).
Account Notes: Typically used for notes regarding the entire account. These notes will NOT display on mobile. These are internal notes only.
Location Notes: Similar to account notes, but specific to one location of the account. Can be displayed on mobile for the driver.
Examples:
· Location notes added to Address A would not display for Address B.
· Gate Codes
· Location specific contact for driver to talk to
Configured Service Notes: (Previously known as Route Note). This note is specific to the configured service. Will display on that specific service moving forward. Can be added to future Work Orders without affecting past work order notes.
Examples:
· ‘Bin has a lock. Code is:____ ‘
· ‘Move the container to the closed gate every Tuesday pickup.’
· ‘Log container number every time’
Work Order Notes: Similar to Configured Service Notes, the note is specific to the work.
Examples:
· ‘One-time bulk pick up for customer.’
· ‘Please remove the can after collection.’
· ‘Leave payment reminder tag on bin.’
· ‘Customer Broke Foot - Concierge collection this week only’
Billing Notes: Brand new feature. This is designed like Account Notes to be a website view only. These notes are located on the billing tab of the customer profile and will not display on the mobile app.
Examples:
· Spoke to Jim, will pay by 5/31. Add late fee if he does not pay on time
· DO NOT WAVE LATE FEES
· On next bill cycle charge for bounced check fee
· Remember to set up on Autopay
How to tell if you saved the note to display on mobile or not
The truck icon with a slash indicates that the note is not displaying on mobile.
Account Notes
Located on the account tab of the customer detail page, below the Locations section
Once saved, you will have the option to Edit, Pin or Archive.

After the note has been archived, there will be an indicator in the right corner of the notes section. All archived notes can be restored.

You can add multiple notes as needed and select if you want to display the note on Mobile or not.

Configured Service Notes:

Added by selecting the note box to the right of the configured service.
When creating the note, you have the option to make the not pertain to all future work orders
If the option to save to all future work orders is enabled, this will default to the note to display on mobile. If the option for all future work orders is disabled, the note will be defaulted to internal view only.
You can update the display at any point by clicking on the note icon and then selecting the 3 dots to the right of the note.
For Mobile visibility you can select to hide from service note, show on all work orders or hide from all work orders.
Archive: You can archive the note with the same options -
Notes that have been saved to all future work orders will display with the assigned work order -
Configured Service Note on mobile:
Work Order Notes -
Similar to Configured Service Notes, the note is specific to the work. Can be added to future Work Orders without affecting past work order notes.
Work Order Notes that are not created from a configured service note can be added individually to each work order.
The default is to display work orders notes on mobile, however you do have the option to remove mobile view.

Additional information about notes:
Archived notes can be restored or viewed in archived history. All notes can be archived.
History -
All notes will display a history if changes have been made to the note. This history will include the user, date and time stamp. The history is only available on the website view, not on mobile.
Real time mobile app update -
When a note is added to a current or future Location, Work Order or Configured Service, the note will update in real time on the mobile app without the driver needing to resync the application.
Printable View:
Notes will display only in the driver section of the printed work order.
Fun fact:
Instead of using the mouse to select the save button, you can select COMMAND+ENTER or CONTROL+ENTER on your keyboard to save the note.
