Managing Report Templates in the Hub

Create, edit, and organise reusable report templates to ensure consistent, high-quality safety documentation across your team

Who Can Manage Report Templates?

Premium and Complete Customers:

  • Hub Admin and Hub User roles can create, edit, and delete templates

  • Templates are automatically shared with all team members

Standard and Free Customers:

  • Cannot manage templates from the Hub

  • Can use templates when creating reports in the App

Please Note:

  • Only Hub Admin and Hub User roles can manage templates from the Hub

  • All team members can use templates when creating reports


What Are Report Templates?

Report templates are pre-built reports that contain standard information, hazards, controls, and procedures for common tasks. Templates help your team create consistent, high-quality reports quickly by providing a strong foundation that can be customised for specific situations.

Available Template Types

The following report types support template creation:

  • SWMS (Safe Work Method Statements) – Australia

  • RAMS (Risk Assessment Method Statements) – UK

  • TA (Task Analysis) – New Zealand

For the following reports types each vehicle/equipment/machinery that you complete a checklist for will be automatically saved as an asset. The next time you a complete a checklist you can select from a list of available assets and the asset details will be automatically populated when selected.

  • Vehicle Checklists

  • Machinery Pre-Start Checklists

Please Note:

  • Other report types (Toolbox Meetings, Site Reviews, Incident Reports, Risk Assessments) do not currently support template saving

Accessing Report Templates

How to View Your Templates

  1. Log into the HazardCo Hub

  2. Go to Reports

  3. Select Manage Templates on the right side of the reports table

  4. View your existing report templates

The Report Templates list includes a search field, use this to find specific templates and displays the following details:

  • Report Type - SWMS, RAMS, Task Analysis, Vehicle Checklist etc.

  • Template/Asset Name - The name of the vehicle name

  • Created By

  • Last Updated

  • Update By

  • Actions - Options menu (edit, delete, preview)


Save an existing reporting as a Template from the Hub

This is useful when you've completed a real job and want to reuse that report structure.

  1. Navigate to Reports

  2. Find a high-quality report you want to turn into a template

  3. Click the three-dot Options menu next to the report

  4. Select Save as Template

  5. Give your template a clear, descriptive name

  6. Click Save

Tips for Naming:

  • Start with the main activity or task

  • Be specific about the context (e.g., "Scaffolding" not just "Height")

  • Use consistent naming conventions across all templates

  • Avoid abbreviations that team members might not understand


Editing Existing Templates

Templates should be reviewed and updated regularly to reflect current best practices, lessons learned, and any regulatory changes.

How to Edit a Template

  1. Navigate to Reports and click Manage Templates on the left side of the screen

  2. Find the template you want to update

  3. Click the three-dot Options menu next to the template

  4. Select Edit

  5. Make your changes

  6. Click Save to update the template


When to Update Templates

After Incidents or Near Misses

  • Review any relevant templates

  • Add any hazards that were missed

  • Update control measures based on lessons learned

Regulatory Changes

  • Update templates when regulations change

  • Ensure compliance requirements are current

  • Add any new mandatory checks or procedures

Process Improvements

  • Incorporate better practices as you discover them

  • Add feedback from team members

  • Update based on client or auditor suggestions

Regular Reviews

  • Schedule quarterly or annual template reviews

  • Check that all information remains current

Please Note:

  • Updating a template does not change reports already created from that template

  • The updated template will be used for all new reports going forward

  • Consider communicating template updates to your team during toolbox meetings


Deleting Templates

Remove templates that are no longer needed to keep your template library organised and relevant.

How to Delete a Template

  1. Navigate to Reports and click Manage Templates on the left side of the screen

  2. Find the template you want to delete

  3. Click the three-dot Options menu next to the template

  4. Select Delete

  5. Confirm the deletion when prompted

Please Note:

  • Deleted templates cannot be recovered

  • Deleting a template does not affect reports already created from that template

  • Team members will no longer be able to create new reports from a deleted template

When to Delete Templates:

  • Outdated templates that have been replaced with improved versions

  • Templates that were created for testing

  • Duplicate templates


Troubleshooting

I can't Manage Report Templates in the Hub

  • Only Hub Admin and Hub User roles can access Manage Templates

  • Only Premium and Complete plan can access Manage Templates

  • Ask your HazardCo account administration to check your user role in Company Details

  • If you're the right role and on the right plan and still can't edit, try logging out and back in

  • Contact HazardCo support if the issue persists

My team can't see the templates I created

  • Templates are automatically shared - no additional action needed

  • Team members will see templates when creating reports in the App

  • Ask them to check they're creating the correct report type (SWMS/RAMS/TA/Vehicle Checklists/Machinery Pre-start Checklists)

  • Ensure they're logged in as a user that is a team member of your HazardCo Company

A template I deleted is still showing in the App

  • Ask team members to close and reopen the App

  • Pull down to refresh the templates list

  • Check they're not looking at a report created from that template (old reports remain)

Workers are confused about which template to use

  • Review your template names - are they clear and specific enough?

  • Reduce the number of similar templates if there are too many options
