Setting up and scheduling a new service

This article walks you through adding a new service to Healthera Connect, customising its details, setting a price, and scheduling availability so patients can start booking.

Before you start

Setting up a service involves four tabs: Settings, Content, Payment, and Schedule. You will fill these in roughly in that order, then enable the service to make it live.

  • You will need a consultation room set up beforehand. If you don't have one yet, follow our guide How to Create a New Consultation Room first.

  • Have your service details ready: name, duration, who will deliver it, and pricing (if charging).

  • Changes are saved as drafts until you select Save and publish.


1. Configure the service settings

Step 1: Open the Services page

Go to https://connectme.healthera.co.uk/services to view all your listed services.

Step 2: Click "Add New Service"

You'll find this button in the top-right corner of the Services page. This opens the new service form.

Step 3: Choose a service template

Click the Service Template field and start typing the name of the service you want to set up (for example, "health").

From the dropdown, select the template that best matches your service, such as NHS Health Check.

💡 Tip: Don't worry if there isn't an exact match — you can customise the name and details in the next steps.

Step 4: Set a custom name (optional)

If you want to display a different name to patients than the template name, click the Set a custom name for service field and type your preferred name. This will replace the original service name on patient-facing screens.

Step 5: Assign a category (optional)

Under Categories, click Select and choose a relevant category, such as "Flu/Covid". Categories help patients find the right service more easily.

Step 6: Pin the service (optional)

Toggle Is Pinned on if you want this service to appear at the top of your services list.

Step 7: Choose how patients can book

Under Availability, choose one of the following:

  • Book online — patients can self-book through the app or website.

  • Enquire only — patients see your pharmacy phone number and call to enquire instead of booking directly.

Step 8: Select the fulfilment method

Pick how the service will be delivered: In person, Drop in, Phone consultation, Online consultation, or Other.

Step 9: Set the consultation type

Click Select under Consultation Type and pick the option that best matches your service: NHS, Private, PGD, or Other.

ℹ️ Note: The "Consultation" option is reserved for system-created services and isn't available for manually created ones.

Step 10: Choose the practitioner type

Click Select under Practitioner Type and choose who will deliver the service: Pharmacist, Technician, Prescribing Pharmacist, or Other.

Step 11: Set the service duration and concurrent slots

Choose how long each appointment lasts: 15, 30, 45, or 60 minutes. This ensures your calendar blocks out the right amount of time per booking.

ℹ️ About concurrent slots: Concurrent slots control how many appointments can be booked into the same time slot. For example, setting this to 3 lets three patients book the 9:00 AM slot. This option is only available for 15-minute appointments.

Step 12: Select a consultation room

Tick the consultation room (or rooms) where this service will take place, for example Consultation Room 1.

Step 13: Save your settings

Click Save in the top-right corner to save your service configuration.


2. Add the service content

The Content tab is where you describe the service for patients. Click the Content tab at the top of the page to begin.

Step 14: Write a short description

In the Short description field, write a brief explainer of the service (up to 500 characters). This appears when patients click into the service before booking.

Step 15: Add a long description (optional)

Under Long Description, give your section a title and use the rich-text editor to add more detailed information — facts about the service, preparation instructions, after-care advice, or anything else patients should know. You can also add images.

Step 16: Save and publish

Click Save and publish in the top-right corner. In the confirmation pop-up, click Confirm.

⚠️ Important: The Save button only saves your changes as a draft. To make the content live on the website and app, you must click Save and publish.


3. Set up payment (optional)

Click the Payment tab to configure how patients pay for this service.

Step 17: Enable online payment

Under Service charged online, select Yes - charge online to require payment at booking.

ℹ️ About fees: Healthera charges a service fee equal to 5% of the booking fee, which covers payment processing and platform maintenance.

Step 18: Set the booking price

Click the Price field (showing £0.00) and enter the amount you want to charge for the booking.

Once a patient has paid, the booking will appear in your calendar. You can manage payments and issue refunds directly from the appointment booking screen.

Step 19: Add optional add-on products

Add-ons let you charge for extras after the consultation, such as a sick note, referral note, or prescription medicine.

To create an add-on:

  1. Click Add more under the Add-ons section.

  2. Click the Name field and type the name of the add-on (for example, "Blood testing").

  3. Click the Price field and enter the amount you want to charge.

  4. Click Save.

You can add as many add-ons as you like. After the consultation, select the add-ons you want to charge for in the appointment outcomes.

📝 Reminder: During the appointment, make sure the patient is aware they will be charged for any add-ons before applying them.


4. Set the service schedule

Click the Schedule tab to choose when patients can book this service.

Step 20: Open available time slots

Click individual squares to make them bookable. Green squares are available for booking; grey squares are unavailable. Click a green square again to make it grey and remove availability.

Step 21: Use shortcuts to set availability faster

  • Click a day name (such as MON) to toggle the entire day's availability at once.

  • Click a time (such as 09:30) to toggle that time across every day of the week.

Step 22: Save the schedule

Once you're happy with the availability, click Save in the top-right corner.


5. Enable the service

Step 23: Make the service live

Click the Settings tab, scroll to the bottom, and click Enable service. Your service is now live and bookable by patients.


Quick recap

  • Settings: choose template, name, category, availability, fulfilment method, consultation type, practitioner type, duration, and consultation room.

  • Content: write a short description and any long-form details patients need.

  • Payment: enable online payment, set the price, and add any add-ons.

  • Schedule: select the time slots when patients can book.

  • Enable: switch the service on so it appears live.
