How to Create a Temporary Service Schedule in Healthera

Use a temporary schedule when you need different booking availability for a specific date range — for example, holiday cover, a one-off clinic, a flu vaccination week, or any time your standard schedule doesn't apply.

Summary: This guide shows you how to set up a temporary schedule for a service in the Healthera platform. Use a temporary schedule when you need different booking availability for a specific date range — for example, holiday cover, a one-off clinic, a flu vaccination week, or any time your standard schedule doesn't apply. Your default schedule stays in place; the temporary one only runs between the start and end dates you choose.

Before you start

  • Each service has a Default Schedule (your normal weekly availability). Temporary schedules sit alongside it and override your default for the dates you choose.

  • You can add as many temporary schedules as you need, for any service.

  • Make sure you click Save at the end, otherwise your changes won't go live.

Step-by-step guide

1. Open your services list

2. Select the service

Click on the service that you'd like to create a temporary schedule for.

3. Open the "Schedule" tab

At the top of the service page, click Schedule.

4. Add a new schedule

Click Add new schedule. You'll see your Default Schedule on the left and a new schedule panel appear on the right, ready for you to configure.

5. Set the start date

In the new schedule panel, click the calendar icon next to the Start date field.

Then click on the date that you'd like this schedule to start from.

6. Set the end date

Click the calendar icon next to the End date field.

Then click on the date that you'd like this schedule to end.

7. Highlight your available appointment slots

Now, on the schedule grid, highlight all the appointment slots you'd like patients to be able to book during this date range. Available slots will turn green.

💡 Tip: You can drag across multiple cells to select a range quickly. Only the slots you've highlighted in green will be bookable during the temporary period.

8. Review your schedule

Compare your new schedule to your Default Schedule on the left to make sure everything looks right.

9. Save your changes

Once you're happy with the selected times, click Save in the top right of the page to publish the temporary schedule.
