How to Schedule Pharmacy Block-out Days

Block-out days mark specific dates as unavailable for all services at your pharmacy. This guide walks you through adding block-out dates and choosing whether they apply to a single branch or every pharmacy in your organisation.

Written by Jade

Before you start

  • Block-out days apply to every service at the selected pharmacy (or across your whole organisation, if you choose). They override your normal schedules for the date range you choose.

  • You can add as many block-out periods as you need — past, present, and future ones all show up in your Block-out days list.

  • If you only want to block availability for a specific service (rather than the entire pharmacy), use a temporary schedule instead. See How to Create a Temporary Service Schedule in Healthera.

Step-by-step guide

1. Open the Services page

2. Open the "Block-out days" tab

Click Block-out days in the row of tabs at the top of the page (next to "Listed services" and "Consultation rooms").

You'll see a list of any block-out periods that already exist, with start date, end date, the services they apply to, and the branches affected.

3. Add a new block-out period

Click + Add Block-out Day(s) in the top right of the page.

4. Set the start date

Click the calendar icon next to the Start Date field, then click the date you'd like the block-out to start from.

5. Set the end date

Click the calendar icon next to the End Date field, then click the date you'd like the block-out to end.

💡 Tip: If you only need to block out a single day, just pick the same date for both Start Date and End Date.

6. Choose where the block-out applies

Under Apply to all services, choose one option:

  • Only in selected pharmacy — the block-out applies only to this branch.

  • All pharmacies within organisation — the block-out applies to every pharmacy in your organisation. Useful for things like bank holidays that affect the whole group.

7. Save

Click Save to apply the block-out.

The new block-out period will appear in your Block-out days list, and patients will no longer be able to book any service during that date range.

Removing a block-out period

If you need to remove a block-out (for example, if your plans change), open the Block-out days tab and click the bin icon next to the entry you'd like to remove.
