Export Data Requirements for Revenue Audits

Why do we need specific export data?

To perform a comprehensive revenue audit, we require detailed transaction data that may not be included in standard system exports. This ensures that we can provide you with accurate, thorough audit results that meet compliance requirements.

Required data columns

Your export must include these 10 essential columns:

  1. Email - Customer email address

  2. Line item name - Product or service description

  3. Subtotal - Pre-tax amount

  4. Total - Final amount including taxes and fees

  5. Created at - Transaction date and time

  6. Line item quantity - Number of items purchased

  7. Line item price - Individual item price

  8. Refunded Amount - Any refunds processed

  9. Id (CRITICAL) - Unique transaction identifier

  10. Source - Where the transaction originated

Note: All columns are required. Missing any column, especially the Id field, will prevent us from completing your audit.

How to prepare your export

  • Step 1: Generate the export - Access your transaction data system and create an export for the requested date range.

  • Step 2: Verify all columns - Check that your export includes all 10 required columns with the exact names listed above.

  • Step 3: Choose the right format

  • Export your data as:

    • CSV file (preferred)

    • Excel file (.xlsx or .xls)

    • Single file containing all data

  • Step 4: Review data quality

    Ensure:

    • No blank required fields

    • Dates are in a consistent format

    • Numeric fields contain only numbers

    • Id column has unique values for each transaction

  • Why can't you use our standard export? Standard exports often focus on summary data. Revenue audits require detailed transaction-level information to verify calculations, reconcile accounts, and ensure compliance.

  • What if our system uses different column names? Please map your column names to match our requirements or include a reference sheet showing which of your columns correspond to our required fields.

  • What date range should we export? Export data for the specific period requested by your audit team, typically aligned with your fiscal year or quarter.

  • How should we handle partial refunds? Include the refunded amount in the "Refunded Amount" column. If no refund was issued, enter 0 or leave blank.

Common Issues to Avoid

  • Filtered data - Don't apply filters that might exclude transactions

  • Summarized data - Provide individual transaction rows, not summaries

  • Split files - Keep all data in one file if possible

  • Missing test transactions - Include all transactions unless specifically instructed otherwise

Submission guidelines

When your export is ready:

  1. File naming - Use format: CompanyName_RevenueAudit_DateRange.csv

  2. File size - If over 25MB, use a secure file transfer service

  3. Delivery method - Upload through our secure portal or approved transfer method

  4. Confirmation - You'll receive confirmation within 1 business day

Timeline expectations

  • Standard processing: 3-5 business days after receiving complete data

  • Expedited service: 2-3 business days (if available)

  • Incomplete submissions: Will be returned with specific requirements
