What is Heidi?

Heidi is an AI medical scribe platform that assists clinicians by automating the creation of clinical notes during patient visits. Heidi streamlines documentation by recording consultations, generating notes that sound just like you, and allowing you to edit your notes with AI. Heidi also allows you to automatically create documents, such as referral letters and patient summaries, based on your notes.

This helps clinicians save time, focus more on their patients, and handle documentation efficiently. The platform also features top-notch privacy and security measures to safeguard sensitive medical data.

What is the difference between Heidi Free, Heidi Pro and Heidi Practice?

Our Free version lets you generate unlimited notes, forever - you don't even need to enter your credit card!

Free users will get standard processing speed for note generation (in peak hours this may slow down the time to generate a note) and will receive 10 Pro Actions you can use towards document templates & AI prompts.

What do I need to start using Heidi?

  • Web Browser (eg. Chrome): Heidi runs as a stand-alone tool located in your web browser. We are currently working on an app that we hope to share widely soon.

  • Mobile App: You can download the app on your preferred mobile device by following the links below:

    Once downloaded, log in with your existing account to access all your data and continue working seamlessly across your devices.

  • WiFi or Cellular Network: You'll need WiFi to run Heidi, so if you are in areas of low WiFi cover you can try using this to record audio. Then, use Heidi for notes/documents after the visit once you have WiFi cover by uploading the recording of the consult in a supported audio file format such as MP3, WAV, M4A, etc.

  • Working Microphone: Heidi requires access to your microphone for the transcribe and dictate functions, which is how notes are generated, allowing you to use and benefit from all the features that Heidi offers. For TeleHealth appointments, you can open Heidi in another browser window to transcribe your live meeting notes. At the moment, Heidi doesn't support headphones/earphones for TeleHealth consults, so you'll need to play out loud/on loud speaker.


How do I use Heidi?

Step 1: Log into Heidi

Simply log in here to unlock all the powerful features of Heidi Organisation.

Step 2: Transcribe a Session

Start a “New session” on the side bar of the page and click “Start transcribing”. Let Heidi transcribe whilst you have your consultation, and add any additional context (eg. the previous visit’s summary or things you don’t want the patient to hear) in the “Context” section during or after the consultation.

Step 3: Generate a Note

Once you are done with the session, click “Stop transcribing” and select the type of note you’d like Heidi to produce (eg. SOAP or H&P). Then let Heidi make its magic and produce the perfect note in just a matter of seconds!

Step 4: Personalise your Templates

Take it one step further by personalising your own templates so that Heidi can write the perfect note, in your own voice, every time. Go to “Templates” on the side bar and click “Create Template” on the top right-hand corner. Feel free to start from an existing example note or from scratch. This template will then be available to you in your library once you want to create a new note or document for any future or past sessions. More information below!


Do I need to obtain patient consent before using Heidi in a session?

Heidi recommends you to seek consent from your patients. We have info sheets and written consent forms that you can share with your patients if you wish through this link. However, as we service care providers all around the globe, there are jurisdictions where consent to use a product like Heidi is not mandated and therefore those doctors may choose not to obtain formal consent.

In terms of patient confidentiality, the short story is we’ve built Heidi to be as medically compliant as any other tool you use day to day (e.g. your EHR/PMS, etc). We de-identify data, do end to end encryption, and are compliant with HIPAA, GDPR, PIPEDA and Australian Privacy Principles requirements.

How do I make a template?

As a user within a Heidi Organisation you'll receive priority template support. Please share any template questions via the blue chat widget on the bottom right corner of your Heidi screen. If your team admin has set up standardized team templates, those will be made available to you within the "Templates" tab in Heidi.

Templates are an essential part of Heidi that allow you to create notes and documents just the way you like them. Giving Heidi the correct instructions to make sure your template generates properly can lead to some trial and error, because LLMs speak computer language, not human language. Therefore it is important to learn how to communicate with Heidi’s AI in a way that it understands! You can do that by using different components, such as:

  • (Round brackets) - to give the AI clear instructions on how to handle relevant information. For example: (only include if explicitly mentioned in the transcript, contextual notes or clinical note, otherwise leave blank.)

  • [Square brackets] - as a placeholder for Heidi to fill information into the template. For example: [describe the plan for the patient].

  • “Verbatim” - quotation marks are used for text that you want Heidi to produce word-for-word every time you generate the template. e.g. “Signed by Dr M Frakenstein MD, Psychiatrist, MP 1234567”

  • Plain Text - used for any headings you would like in your template to denote sections.

You can use these components in your template structure for Heidi to understand exactly how you would like your templates to be generated. Here’s an example of the different components being used in a template:

Sometimes with LLMs, it is known that they can have some hiccups here and there. Not to worry though, our team is reviewing Heidis output and training Heidi everyday! In the case that Heidi might say something a little silly, to avoid any hallucinations in your template, we suggest putting in this AI instruction at the bottom of all of your custom templates:

(Never come up with your own patient details, assessment, plan, interventions, evaluation, and plan for continuing care - use only the transcript, contextual notes or clinical note as a reference for the information included in your note. If any information related to a placeholder has not been explicitly mentioned in the transcript, contextual notes or clinical note, you must not state the information has not been explicitly mentioned in your output, just leave the relevant placeholder or section blank.)

Is Heidi compatible with mobile?

Yes it is! You can access Heidi using any internet browser you have on your mobile.

You can then access your notes and previous sessions via desktop when you need to, as all your devices will sync to your account.

You can also get Heidi through the app store. Getting started with our app is easy. You can download the app on your preferred mobile device by following the links below:

Heidi on Mobile will sync up with your desktop version, as long as you are logged in with the same account. This means when you log back onto your computer, all of your notes and previous sessions will be found there.


How do I enable microphone access to Heidi?

Heidi requires access to your microphone for the transcribe and dictate functions, which is how notes are generated, allowing you to use and benefit from all the features that Heidi offers. If your notes aren't generating it could be that you haven't enabled microphone access!

Please confirm double check the following items:

  • Ensure your microphone is properly connected.

  • Ensure the correct microphone is selected in the pop-up that appears once you start a new session.

  • Enable your browser's access to your microphone via system preferences.

Can Heidi integrate with my EMR?

As a stand-alone product, you can start using Heidi as soon as you’ve signed up. We are actively working on integrations with different EMR systems.

My note is not generating - what should I do?

If you consult notes are not generating, this can be due to several reasons:

  1. Your voice volume during the session recording is too weak for the system to recognise. Heidi requires access to your microphone for the transcribe and dictate functions, which is how notes are generated. Please make sure that the microphone is unobstructed during the session.

  2. Your internet connection is unstable. You'll need WiFi to run Heidi, so if you are in areas of low WiFi cover you can try using this to record audio. Then, use Heidi for notes/documents after the visit once you have WiFi cover by uploading the recording of the consult in a supported audio file format such as MP3, WAV, M4A, etc.

  3. You selected the wrong voice input (microphone). Please double-check that you select the correct microphone in the pop-up that appears once you start a new session.

What is the Ask Heidi bar?

'Ask Heidi' is an AI prompt bar where you can type in an instruction for Heidi to do just about anything!

You can Ask Heidi to edit your note, add billing codes, as well as ask questions about what happened in the consult or find general information for you.
