Using Heidi within eClinicalWorks via Vim

This guide will instruct you on how to set up the Heidi—eClinicalWorks integration, and how to use Heidi's AI-powered documentation within eClinicalWorks.

Before you start you’ll need:

  • An account with eClinicalWorks EHR.

  • Vim Connect must be installed and activated in your eCW account.

    • If you’re a solo provider - see instructions here.

    • If you’re part of practice or organisation team, the integration needs to be provisioned by your organization administrator. See instructions here.


This guide covers:

  1. First-Time Setup: for eCW users who have installed Vim Connect, and now need to sign up to Heidi to access the AI scribe integration.

  2. Using Heidi in eCW: for eCW users who have complete access to the Heidi integration and want to learn how to use the scribe during patient visits.

What is Vim?

Vim is an “overlay technology” that sits on top of the EHR and allows for seamless integration with eCW. Heidi creates dynamic note templates based on what fields are available in your eClinicalWorks configuration. When you push a note, VIM automatically maps Heidi's sections to your EHR's corresponding fields (subjective, objective, assessment, plan, etc.)


Part 1: First-Time Setup

This is for eCW userswho have installed Vim Connect, and now need to sign up to Heidi to access the integration. If you have not installed Vim Connect, see here for solo practitioners, or here for Practice teams.

Step 1.1

Open eClinicalWorks and select a patient from your schedule. Navigate to their progress notes or encounter page.

Step 1.2

On the right-hand side of your screen, locate and open the Vim Connect toolbar. Click on the Heidi widget application.

Heidi will open inside the widget window — click Continue in a new window.

Step 1.3

You'll be redirected to the Heidi web app and prompted to set up your new Heidi account. Complete the onboarding process by entering your name and contact details.

Step 1.4

Once complete, you'll receive confirmation that your new Heidi account is ready to use with VIM and eClinicalWorks.


Part 2: Using Heidi During Patient Encounters

Step 2.1

In eClinicalWorks, open a patient encounter from your schedule or encounter list, as shown in step 1.1.

Step 2.2

The Heidi widget will automatically appear on the right-hand side with the patient's details already loaded for the current encounter. Click "Start Visit" in the Heidi widget.

Step 2.3

When prompted, grant your browser access to your microphone by selecting: Allow while visiting this site.

Step 2.4

Proceed with your patient consultation as normal. Heidi will listen and document the encounter in the background — indicated by the yellow recording icon.

💡 Tip: You can close the VIM toolbar and navigate around the chart during the visit - Heidi will continue recording.

Step 2.5

When your consultation is complete, click "End Session" in the Heidi widget.

Step 2.6

Review the AI-generated note. Heidi automatically creates sections based on your EHR's available fields (e.g., Chief Complaint, HPI, ROS, Assessment, Plan). Make any edits as needed.

Step 2.7

Click "Push Note" (or "Push Data") to automatically populate the note into the corresponding eClinicalWorks fields.

Step 2.8

Close the VIM toolbar and move on to your next patient. The widget will hide when you navigate away and reappear when you open the next encounter.


Tips

  • The widget is encounter-specific and automatically loads patient demographics.

  • You can minimise Heidi and navigate around your patient chart while recording without stopping the session.

  • Always review and edit notes before pushing to ensure accuracy.

  • The integration maintains your customized template sections and field mappings.
