How to create and manage Task forms that act as reusable templates to create new tasks

Height is designed to make task management a breeze, so to boost productivity we’ve developed a way to make task creation more efficient as well. From handling weekly reports to time-sensitive requests, Task forms make it easy for you and your team to create tasks that align with your workflow.

What is a Task form?

A Task form is a template that can be used to ensure that a task is created in the right format and with the right information. Gone are the days of sorting through tasks with unclear descriptions and missing attributes. With a Task form, you can set specific guidelines for task creation including: optional or required questions to streamline communication, specific attributes to enhance organization, and related subtasks to better collaboration.

Creating a Task form

In Product settings β†’ Task forms, select "New task form" and give the form a name, e.g. "Bug Report." You can also add a description to help users understand the purpose of the form.

From here, you have the option to customize the form by adding a series of questions, attributes, and subtasks that will be applied to each task created using the form.

Task form questions

When using task forms as a ticketing system, adding questions to a form makes it easier to manage submissions by allowing users to answer specific prompts. For example, for bug reports you may need to know which platform the issue occurred on or if the user was able to reproduce the issue.

The attributes field of the questions section allows you to map user responses to specific attributes. For example, "When is the projected due date?" can be mapped to the Due date attribute so that the user's answer is automatically set as the due date for the task.

Question prompts are fully customizable so you can do things like include placeholder text to guide users on how to respond, make certain questions required, and give users a specific list of answer selections to choose from.

Additionally, the questions section supports file uploads so if related documents or recordings are needed for a task, you can give users the option to upload files.

Task form attributes

The attributes section of a task form is where you can add specific attributes to be automatically applied to any task created using the form. From specifying the list(s) that the task should be added to, to setting the Assignee(s) and Status of the task, adding attributes to a task form ensures that your tasks are properly triaged and managed.

Task form subtasks

In addition to adding questions and attributes to a task form, you can include subtasks to be automatically linked to any task created using the form. For example, if there are additional tasks that are related to the main task, you can list those tasks in the subtasks section.

Setting the Task form live

After completing each section of Task form, save the form and set it live by clicking Set live. Once live, a green Live toggle will be in the header of the configuration page and the form will be active in the workspace and ready to use!

Using a task form

Once your task form is saved, users can use the form to create tasks from the new task modal (C).

Users will know that the task was created using a task form based on the creation note listed in the chat:

Questions that were mapped to Description will be listed in the description of the task. Attributes that were set in the form and question responses that were mapped to specific attributes will be appear in the attribute modal. Subtasks listed in the form will be automatically added to the task, too!

How to find a task form

Looking for a specific form? Task forms can be found from the "+ Browse all" menu and from the the CMD+K palette.

Similarly, task forms can be added to a customized toolbar for easy access.

Archiving a task form

Though a task form cannot be deleted, you can easily archive any form that you no longer need in Product settings β†’ Task forms.
