Archiving patients

Patient records on the Isla platform can be archived as part of your clinical management workflow. Archiving allows teams to clean up active views while preserving historical patient data.

Archiving Overview

Archiving is managed on a team level. When archiving a patient, you can select the specific team(s) from which their record is archived.

By default, archived patients appear in the patient list. You can hide them at any time by unchecking the ‘Include archived patients’ box on the patient list page.

Prerequisites

A patient record cannot be archived if it has active clinical actions pending. To successfully archive a patient, ensure they have:

  • No unreviewed submissions

  • No active requests

  • No scheduled items

How to Archive a Patient

  1. Go to the Patients tab.

  2. Select the checkbox next to the relevant patient (you can select multiple patients to bulk archive).

  3. Click 'Archive patient(s)'.

  4. Select the team(s) from which you wish to archive the patient record(s) and click 'Save changes' to confirm.

How to Unarchive a Patient

You can unarchive a patient record manually or allow the platform to automatically restore it based on patient activity.

Manual Unarchiving

  • From the patient tab: Locate the patient and click on the unarchive icon next to their name directly from the list view.

  • From the patient record: Click into the patient’s profile and select 'Unarchive patient' in the upper right.

Automatic Unarchiving

The system will automatically restore an archived patient to active status if:

  • New data or a submission is uploaded to the patient’s record.

  • An appointment is scheduled for the patient within 6 weeks or less.
