How to use Isla's scheduling functionality to send automated requests to your patients

Isla's powerful scheduling functionality allows logged in users to plan automated requests to be sent in the future. Schedules are now more flexible and customisable, allowing varied types of requests in one schedule and any combination of time gaps between requests sent to the patient. In this help centre article, we'll walk through how to set up a schedule on a patient, and how to use schedule templates.



Setting a schedule on a patient

Once you've created a folder for a patient, you can set a new schedule on a patient using the 'Create schedule' button. This option is available on any folder, whether newly created or already existing.

The schedule builder will appear, which can be used to create a request timeline (a set of requests due to go out in the future) on the patient. You have the option of

a) creating a schedule manually (setting any number of requests unique to this patient), or

b) using a predefined schedule template.


Build or edit a schedule manually

To create a bespoke schedule for a patient, click the Add item(s) to schedule button. When creating a schedule manually on an individual patient, you can add requests one at a time, or send the same request more than once. Each request is fully configurable, including the method of delivery, the type of data requested, and whether a reminder text should be sent. You can delete or edit individual requests along the timeline.

You can edit a patient's schedule in this way at any point along the patient's timeline, even if the schedule has already begun.


Build a schedule using a schedule template

Instead of creating a schedule individually on a patient, you instead have the option of applying a schedule template to an individual patient's collection by clicking the Apply schedule template button. This option has the benefit of using pathways standardised at a team level, allowing all users in a team access to pre-defined schedules.

On selecting a schedule template from the dropdown, choose a start date to view a longitudinal preview of your schedule, including dates the requests will be sent. You can also add additional ad-hoc requests on top of a schedule, if you'd like.

Please note that applying a schedule template onto a pre-existing schedule will remove any requests in the future on that collection.

If you don't have any schedule templates available in your dropdown, it's likely that none have been created on your team yet. In the following section, we'll explore how to set one up.



Creating a schedule template

Schedule templates are designed to be used as predefined request timelines, applicable to patients in a given cohort. They are defined at a team level, and can be applied to any collection in that team.

N.B. If there are no team admins you will have access to do the below. You can find out if there are team admins by navigating to your team's library and click 'Users'.

To find the schedule templates on your team, navigate to your team's library and click Schedule templates. If you have team admins in this team they will be the only ones able to create templates.. To set a new schedule template, click the Add schedule for requests button, choose a name, and add your request timeline. Please choose a name that will be understandable to all members of your team.

Please note that 'Day 1' refers to the day that the schedule begins on a patient. At this stage, specific dates have not been set.

Once you've finished creating your schedule template, you'll see it appear in your team's list of schedule templates. This will be accessible to all members of your team.


Using a schedule template in a folder template

Schedule templates can be used on an individual patient level, as we've seen above, as well as in folder templates. To set a schedule on a folder template, you should apply a predefined schedule template.

  1. Why can't I edit a schedule through my folder settings?

    1. Isla now supports all editing of scheduled requests on a folder to take place in one place.

      Users no longer need to click into a folder's settings to change a patient's schedule.

      Instead the patient's set of upcoming of requests is visible directly from the patient's folder. View and edit the schedule by clicking the button labelled 'Create schedule' or 'Edit schedule' (the latter for when a schedule already exists).

      The schedule builder will open. For more on how to set a schedule from here, see Setting a schedule on a patient.

  2. What is a schedule template?

    1. A schedule template is a set of predefined scheduled requests, that you can apply to any folder template or directly to a patient. This allows your team to define monitoring pathways applicable across the patient cohort. A schedule can now feature a combination of different data types requested at different points, as well as irregular intervals.

  3. Will all my pre-existing templates still work?

    1. Yes! No need to update any legacy folder templates - everything will be seamless handled by the transition to schedule templates.

  4. Can I set a schedule without using a template?

    1. Yes you can! You can set a schedule on a patient on an ad-hoc basis by following these steps.

  5. Can I add additional requests on top of an existing schedule?

    1. Yes you can! You can manually add additional requests onto an existing schedule on a patient on an ad-hoc basis by following these steps. Please note that applying a schedule template onto an existing schedule will clear any future requests.

  6. How do I disable a schedule?

    1. Any future requests can be removed by opening the schedule builder by clicking 'Edit schedule', and clicking 'Clear schedule'. You will be asked to confirm the action, and requests that have already been sent will remain visible in the timeline for record-keeping purposes.
