Managing inquiries (manually)

Learn how to move inquiry cards across the Workflow board to keep your clinic’s follow-ups accurate and organized.

Heron’s Workflow board is a kanban-style view that helps clinics track and manage all missed inquiries that come through the system.

In the current version of Heron, some actions (such as booking appointments in the PMS or following up via phone) are still handled manually. To reflect these actions accurately front desk staff can move cards between workflow lanes.

Purpose

Manual card movement allows clinics to:

  • Track which inquiries are still being worked on

  • Indicate when a booking has been completed manually

  • Mark inquiries as resolved once no further action is needed

This helps maintain visibility and coordination across the clinic team.

How to Move a Card

  1. Go to the Workflow section in the Heron dashboard.

  2. Locate the relevant inquiry card in the kanban board.

  3. Click and drag the card to the appropriate lane based on the action taken.

    1. In Progress → when staff are actively working on it.

    1. Scheduled → once a booking has been manually confirmed in the PMS.

    2. Completed → when the inquiry is fully resolved.

Notes

  • Only users with the appropriate access level can move cards.

  • Cards can be moved between lanes at any time, as needed.

  • Keeping the workflow board up to date helps ensure no inquiries are missed or duplicated.

  • Use the notes section in each card for handovers or context on manual actions.
