How Heron captures booking requests and keeps your team in the loop even if your clinic doesn’t use a PMS.

Not every clinic runs on a Practice Management System (PMS). With or without one, patients still need a simple way to request appointments. Heron ensures booking requests are captured, logged, and actioned — so no patient slips through the cracks.

⚙️ How It Works

  1. Patient requests a time → through a call, message, or inquiry.

  2. Heron collects details → including patient name, reason for visit, and preferred date/time.

  3. Notification sent to staff → request appears on the Inquiry board and can also trigger an alert.

  4. Staff confirm manually → by adding the appointment to the clinic’s calendar or system of choice.

  5. Update status → once confirmed or denied, staff move the inquiry card to Scheduled or Completed.

✅ Best Practices

  • Assign a designated staff member to check booking requests daily.

  • Use the Notes section in the inquiry card to log confirmation details or patient preferences.

  • Call or message the patient back promptly to confirm, so they feel looked after.

  • If your clinic uses a shared calendar, make sure all staff have access to avoid double bookings.
