Follow these steps to link your Cliniko instance with Heron.
Step 1: Generate a Cliniko API key
You need your API Key so Heron securely connect to your Cliniko practice.
Log into Cliniko.
Follow the Generate a Cliniko API Key guide to create your API Key
Note this API Key down somewhere secure; you will need it in Step 4.
Step 2: Prepare Your Staff List
Before connecting, ensure all bookable practitioners are added to Heron. You can add them in from Settings > Members & Roles in two ways:
Team Members: Staff who require Heron login access.
Listed Staff: Staff who do not need login access but require booking capabilities.
Step 3: Connect Cliniko
In Heron, navigate to Settings.
Select Integrations.
Find Cliniko and click Setup Integration.
Step 4: Connect the Account
Enter the API Key you recorded in Step 1.
Enter your email address as the Account Owner.
Click Connect Account.
Step 5: Configure the integration
Select your Clinic from the clinic dropdown
Select your “Default appointment type” this will be the appointment type Heron uses when making bookings
Step 6: Map Your Practitioners
The final step is to link your Heron staff profiles to their corresponding Cliniko practitioner records.
Match each Member or Listed Staff to the correct Cliniko entry.
If you add more staff later, simply revisit these settings to update your mapping.
Click “Confirm users” when you are done.
Step 7: Done
The Cliniko integration is complete.
Heron is syncing your patients in the background, this will take a few minutes, longer if you have a large number of patients.
