Add images to your media library through text message

Learn how to send images directly to your HeyOrca Media Library using Text-to-Library.

Instead of chasing media uploads, our Text-to-Library feature lets you collect photos with a simple text. Images sent to your workspaces’s Text-to-Library number land directly in your Media Library, ready to use. It’s a fast, low-friction way to gather visuals from teammates or clients.

Text-to-Library is only available for phone numbers in Canada and the United States and for Basic and Pro workspace subscriptions.

What is Text-to-Library?

Text-to-Library lets you collect images in real time by text message. A phone number is assigned to the Media Library of any workspace you manage in HeyOrca, and anyone with that number can text in images (no HeyOrca login required!)

When an image is sent, it’s automatically added to the workspace’s Media Library and the workspace owner is notified in the app. It’s a simple way to gather visuals for event promotion, support asynchronous collaboration, or build an image bank for future use.

Set up

Reach out to our customer care team through in-app support chat or email and share the following information:

  • You would like to add a Text-to-Library phone number

  • The workspace name you want the phone number for

  • Your preferred area code

Once our team has confirmed set-up, you will be able to view your Text-to-Library phone number in your Workspace settings.

Send a photo using Text-to-Library

After getting the phone number and creating a new message on your phone:

  1. Add the Text-to-Library phone number to the recipient box

  2. Add a photo to the text message

  3. Optional: Add a caption, hashtag, or keyword in the message.

  4. Send the text with the image to the Text-to-Library number.

  5. The photo is automatically added to the workspace’s Media Library

  6. You’ll receive a confirmation reply letting you know that the media was successfully uploaded to the workspace.

⚠️ Images may lose some resolution/quality when sent by this method.

Limitations

  • Text-to-Library is recommended for images only. Videos aren’t supported and may lose quality.

  • Due to mobile carriers limiting the size of files that can be sent by text (MMS), we recommend keeping images under 0.6 MB to avoid quality loss. File size limits can vary by carrier, so it’s best to check with your mobile provider for details specific to your network.

  • Text and data rates may apply, depending on your mobile carrier.

FAQ: Frequently Asked Questions

Do I get notified when media is added via text?

Yes! You can turn on notifications in each user’s Notification Settings to be alerted when new media is added.

Can we change the automatic message that’s sent after a photo is received?

Not at this time. The confirmation message is fixed and can’t be customized.

Can I assign media to a specific folder through Text-to-Library?

Not currently. Images sent via Text-to-Library are added to the workspace’s main Media Library. To make organizing easier, we recommend asking senders to include a keyword or date in their message.

Can we remove a Text-to-Library phone number from a workspace?

Phone numbers can’t be removed, but we can update or replace the number if needed. Just reach out to customer care and we’ll change it for you.

Can I see who sent media to the library?

At the moment, senders are not displayed and there isn’t a way to see who sent media through Text-to-Library.
