Organizer: Viewing and Updating Student Medical Information and Notes

How to view and manage student medical information, allergies, medications, and notes as an organizer.

How is Medical Information collected from Families?

At registration, Homeroom collects medical information from families about the student signing up for an activity. The fields are: Allergies, EpiPen, Medications, Conditions, and Comments.

Where do I find information about student allergies, medications, and EpiPen needs?

There are three places to find this information:

  • Season enrollments table — Medical fields appear as separate columns in the table and in report downloads. If there are allergies, medications, EpiPen, or conditions, these are also displayed as a tooltip next to the student's name.

  • Activity enrollments table / Attendance — Medical flags are displayed as a ⓘ tooltip next to the student's name.

  • Student profile — Click on a student's name to view their full medical information in the student profile.

How do I add a note to a student's profile?

Go to the Notes tab and click Add Note. An overlay will appear that defaults to the current date and time. You can edit the date and time if needed.

How do I pull information about which medications to dispense?

Under Enrollments, filter by the medications column.

Can I customize the fields associated with allergies, medications, and EpiPen?

No, these fields are not customizable. If you wish to add additional medical questions, you can do so using the Registration Questions feature.

Can I upload a medical document on behalf of a parent?

Yes — you can do this from the student's profile.

How can I see the vaccination status of all campers?

First, add the immunization form as a registration question. Once families enroll, go to the Enrollments table where the immunization form will appear as a column.
