Your First Day: Attendance & Check-In

How to take attendance, handle drop-ins, check students out, and export records — everything staff needs for a smooth first session.

Everything your staff needs to run a smooth first session — from opening the attendance view to handling drop-ins and dismissal.

Step 1: Open the attendance view

  1. Log into your Homeroom admin dashboard

  2. Click Attendance in the left navigation

  3. Select today's date and the program or activity you're managing

  4. You'll see every enrolled student for that session with their current check-in status

  5. Remember, assigned instructors will automatically get their roster sent to them.

💡 Tip: Bookmark the attendance page on the tablet or phone you use at arrival. It works in any browser — no app installation needed.

Step 2: Take attendance

Option A — Staff marks attendance manually

As students arrive, find their name and click Check In. The timestamp is recorded automatically.

Option B — Family self check-in (kiosk or app)

Families check in via a tablet kiosk at the entrance or through the Homeroom family app. Student status updates in real time in your attendance view.

Marking a student absent

By clicking in the attendance marker twice, it will mark the student absent.

At a glance, every student has one of three statuses:

  • 🟢 Checked In — present and recorded

  • Not Yet Arrived — enrolled but not checked in yet

  • 🔴 Absent — manually marked absent

Step 3: Handle drop-ins

Drop-in students who pre-registered through the family portal appear automatically in your attendance list with a "Drop-In" badge. For walk-up drop-ins who haven't pre-registered:

  1. Click Add Participant at the top of the enrollment table of the activity

  2. Search for the student by name in the add existing participant tab, or enter their details in the invite new participant.

  3. The drop-in charge charges automatically if using add existing participant. Families will receive an invitation if using invite new student to complete checkout

Step 4: Check-out and dismissal

  1. Find the student in the attendance list and click Check Out

  2. The check-out time is recorded automatically

  3. For extended care programs, check-out time can be used to calculate overtime charges if applicable

💡 Tip: For large after-care programs, dedicate one staff member to the check-out kiosk at dismissal time to keep the line moving.

Step 5: Export attendance records

For compliance, staff records, or your own files:

  1. Go to the attendance record page

  2. Select your date

  3. Export as CSV or PDF
