Season Wrap-Up: Reports & Billing

How to close out a season — issue refunds, run financial reports, download provider payment records, complete the season, and duplicate it for next time.

What to do at the end of a season to close out cleanly, produce financial reports, and set up for next time.

Step 1: Issue any remaining refunds

Before closing out, check for any outstanding refund requests from families who withdrew or are owed a partial credit.

  1. Go to the activity then the Billing tab.

  2. Review each flagged request and process the appropriate amount (full or partial)

  3. Refunds go back to the family's original payment method and typically appear within 5–10 business days

💡 Tip: For a student who completed half a season, issue a partial refund — enter the specific dollar amount rather than selecting "Full Refund."

Step 2: Run your financial summary

  1. Go to Reports → Transactions

  2. Set the date range to your season dates

  3. Export as CSV for your accounting software, or PDF to share with your business office or PTO

Key numbers to capture and record:

  • Gross revenue collected

  • Refunds issued

  • Net revenue

  • Enrollment count per activity

Step 3: Set up your next season

Homeroom lets you duplicate a previous season so you don't have to rebuild from scratch.

  1. Go to Season → Create Your Season → Create Season

  2. Click Copy from Previous Season in the activities section and select the season to duplicate

  3. Update the dates, pricing, and any activity details that have changed

  4. Click Save — all activities are carried over in draft mode, ready to review and approve

💡 Tip: Duplicating a season is especially useful for enrichment programs where the same activities run each semester. Update names and dates, re-approve, and you're ready to open enrollment again.
