This article covers how attendance works on Homeroom for organizers and instructors. It walks through the instructor check-in view, the admin daily attendance dashboard, the family sign-in kiosk, and exporting attendance data.
The instructor attendance link
One hour before the start of a program session, the designated instructor automatically receives a link to take attendance by text and email. The instructor does not need to log in to the platform or have broader admin access to use this link.
Taking attendance
From the attendance view, the instructor can:
Check in individual students or use bulk check-in to mark the full class present at once.
Mark students absent.
View family-provided details for each student, such as allergy information or emergency notes.
Sort and filter the attendance list.
Add a note to a student's profile directly from the attendance screen.
View each student's dismissal information by scrolling across the row.
Click on a student to pull up their authorized contacts.
Attendance times can be edited directly. The attendance view works like a spreadsheet, so you can bulk-edit all attendance times in a row at once.
To share the attendance link with an additional instructor beyond the auto-notified one, copy the instructor link and send it to anyone you want to take attendance. They will see only the attendance-specific view.
Attendance history per student
When you open a student profile in Homeroom, you can see that student's full attendance history, including who signed them in, who signed them out, and who marked them absent.
Daily attendance (admin view)
As an admin, you can view attendance across all programs running on-site on a given day. You can sort, filter, and save custom views, for example filtering to show only specific grade levels or specific programs.
The daily attendance view shows each student's school day, their teacher or classroom, and the other activities they are attending. A real-time summary at the top shows how many students are checked in, checked out, and absent across all programs at that moment.
Daily attendance can be exported to a variety of formats. Historical attendance from previous seasons is also accessible and exportable.
Family sign-in kiosk
The family attendance kiosk allows family members and authorized adult pickup contacts to sign students in or out using a unique PIN code on a shared device.
Each authorized adult has their own unique PIN. When a family member arrives, they:
Enter their PIN on the kiosk screen.
Choose to sign in or sign out their student.
If they have multiple students, they see all of them and can act on each.
Receive a success confirmation screen.
The attendance record retains the timestamp and the name of the adult who checked the student out.
Families can view their student's sign-in and sign-out history in real time. You can also enable optional notifications that alert families when their student is checked in, checked out, or marked absent.
Staff can always sign a student in or out on behalf of an adult. From a student profile, you can view the student's contacts and retrieve their PIN code, for example if a grandparent has forgotten theirs. PINs are also automatically texted to authorized adults when they are first added as an authorized pickup.
QR code sign-in
If you do not have a shared device at the entrance, families can use a QR code instead. Print the QR code and hang it where families arrive.
The family scans the QR code on their mobile device.
The sign-in or sign-out screen appears on their phone.
They enter their PIN and their details populate the attendance sheet automatically.
Exporting attendance
All attendance data can be exported to multiple formats from both the instructor view and the daily attendance admin view. You can also page back through historical sessions and export attendance records from previous seasons.
