Homeroom Account Information Template Setup

Use the Account Information template to give Homeroom everything it needs to configure your account before your first season.

Use this template to give Homeroom all the details it needs to configure your account for your first season. In the template, red fields are required and must be completed now, while tan fields are optional and can be provided later. The more you fill in up front, the more of your account Homeroom can build before you launch.

Step 1: Enter activity details

Start on the Activities tab. For each activity, fill in the fields below.

Activity name — enter the name of the activity.

Instructor — if known, enter the instructor’s name, email, and phone number.

Category — select a category from the dropdown list. Choose the most appropriate option so the activity is correctly categorized.

Grade — specify the grade for the activity. If you don’t use grades, you can enter age ranges instead (for example, “Ages 6–8”).

Description — provide a course description that families will see.

Location and room — if available, enter the location and room for the activity.

Days and times — enter the days and times when the activity meets.

Start and end dates — enter the first and last class dates.

No-activity days — add any holidays, breaks, or days the activity will not run.

Enrollment window — enter your enrollment start date and time, and enrollment end date and time.

Capacity and price — fill in the minimum and maximum capacity (required) and enter the price. If families can choose a set number of days at different prices (for example, 1 day for $10, 2 days for $20), enter those pricing options as well.

Step 2: Add custom registration questions

At the bottom of the template, open the Registration Questions tab. Enter any additional questions you want families to answer during registration — for example, T-shirt size or other information Homeroom doesn’t already collect. These questions are built into your account and shown during sign-up.

Step 3: Import users (students and parents)

Open the User Import tab. Use this tab if you are not syncing with Blackbaud or Veracross.

Assign a unique Person ID for every user (student and parent), then select the user type (student or parent).

Enter the first name and last name for each user.

Then add the details specific to each user type:

  • For students, provide grade and birth date.

  • For parents, provide email and mobile phone.

Use a Family ID and assign the same value to each student and their parent(s) — this links their accounts together.

Step 4: Define classrooms

Open the Classrooms section.

Enter each classroom teacher’s name and the grade they teach. These classroom options appear at checkout so families can select their student’s classroom teacher.

Step 5: Configure grade labels

Open the Grades section and review the list of grades that will be available in Homeroom.

If you use different naming conventions (for example, “PS” instead of “Preschool”), update the display label to match what you want families to see. Confirm that all grade labels are accurate and clear for your community.

Step 6: Set dismissal options and discounts

In the Dismissal Options section, define the dismissal choices families can select — for example, “After this activity, my student will go to: Carpool, Aftercare, Bus, or Walk Home.” These are the options families choose from when registering.

Then open the Discounts tab to configure any discount codes. Enter each discount code (for example, a code for faculty) and specify the discount amount or percentage (for example, 100% off for faculty).

Review all dismissal and discount entries to make sure they are correct before you share registration with families.
