Organizer: Creating and Using Roster Groups

How to group participants within an activity or season — bus lines, small groups, color teams — and how to filter attendance by those groups.

A group is a label you put on participants so you can pull them up as a set later. Schools use them for small groups, bus lines, color teams, swim levels, field trip vans, counselor assignments — anything where you need to slice a roster into smaller pieces.


Creating a group

You create a group by assigning participants to it. There's no separate setup screen.

  1. Open either an activity's Enrolled list or your season enrollments page.

  2. Select the participants you want to group, using the checkboxes.

  3. Click Group in the action toolbar.

  4. In the Group enrollments window, use the Group field. It reads Select an existing group or enter a new one — pick a group you've already made, or type a brand new name to create it.

  5. Confirm the participants listed are the ones you meant, then save.

That's it. The group now exists and is available everywhere groups are used.

Groups sit on the enrollment, not the child

This is the most useful thing to understand. A group is attached to a participant's enrollment in a specific activity. So a child can be in "Group A" for Chess Club and "Group C" for Aftercare, and the two don't interfere.

It also means that if a participant is moved to a different activity, their group assignment doesn't follow them — you'll want to set it again.


Where groups show up

As a filter on attendance

Once at least one group exists, a Groups dropdown appears above your attendance list — on both the school-wide attendance page and an individual activity's roster. Select one or more groups to narrow attendance down to just those participants.

This is the payoff for most schools: a counselor taking attendance for their own small group can filter to it instead of scrolling a roster of ninety children.

As a column

Groups are available as a column on roster and attendance lists. Add it through Choose columns... if you want to see each participant's group inline.

As a way to organize a printed roster

Groups can be used to break a roster into sections, including alongside classroom on the classroom view — so a printed sheet comes out already divided the way your staff work.


Changing or removing a group

Re-run the same steps. Select the participants, click Group, and set the value you want. To take participants out of all groups, assign the Group to None.


If you don't see the Group button

The Group button only appears if your role allows changing enrollments. If it isn't there, ask an admin at your school to grant access or to make the group assignments for you.
