Organizer: How do I add an instructor?

Where instructors live in Homeroom, the two ways to add one, and what an instructor gets access to once assigned.

Instructors are the people who show up and run an activity, take attendance, and communicate with families.

The one thing to understand before you start: instructors belong to a provider, not to your school. Every instructor sits on a provider's roster of staff, and you assign them from there to individual activities. That's true whether the provider is an outside vendor or your own school acting as its own provider.

Because of that, an activity needs a provider assigned before it can have an instructor. If you try to add one first, Homeroom will tell you: Please assign a provider to this activity before adding an instructor.


Option 1: Add instructors to a provider ahead of time

This is the tidier route if you know your staff list before you start scheduling.

  1. Open the provider and go to its Instructors page.

  2. Click Add an instructor.

  3. Enter their Name, Email, and Phone.

  4. Add as many as you need, then save.

Now they're available to pick from whenever you schedule an activity for that provider.

Option 2: Add an instructor while building an activity

You don't have to set anyone up in advance. On the activity table, open the Instructors field, type the person's name, and choose to add them. An Instructor Information window opens asking for:

  • Name

  • Email — required

  • Phone — required

Email and phone are both required because that's how Homeroom sends the instructor their attendance link before each session. An instructor without them can't take attendance.

Once saved, they're added to that provider's staff list permanently, so you'll only ever enter their details once.


You can assign more than one instructor

The Instructors field accepts multiple people, so co-taught activities, an instructor plus an aide, or a rotating pair are all fine. Each assigned instructor gets their own access and their own attendance link.


Renaming and removing

Renaming an instructor renames them on every activity they're assigned to, past and present. Homeroom will warn you before saving. If someone has left and a new person is taking over, add the new person rather than renaming the old one — otherwise your history will show the wrong name on sessions the new person never ran.

Removing an instructor from a provider's list asks you to confirm, since it affects everywhere they're assigned.


What an instructor gets once assigned

  • An attendance link by text and email about an hour before each session starts. They don't need to log in to use it.

  • An instructor account, which opens on a weekly schedule of everything they're assigned to, with access to their rosters, participant details, and family messaging.
