How do I Add an End Date for a Staff Member's Employment or set a Contract End Date?

How do I end an employee's employment?

Also covers: setting an end date for a staff member who's leaving or resigning, calculating final holiday allowance owed.

If a staff member is leaving your company, resigning, or being let go, you can end their employment record and set their leaving date — without losing their historical data. This process also calculates their final holiday allowance owed.

To end an employee's employment:

  1. Open the employee's profile.

  2. Click the cog icon in the top right corner of the profile header.

  3. Select End Employment.

A three-step window will open:

Step 1: Employment end details
Enter the employment end date, termination type, termination reason, and eligibility to rehire.

  • To add a new termination type or reason, click the cog icon next to the relevant drop-down.

Step 2: Working pattern
Confirm the employee's working pattern.

Step 3: Holiday allowance
Review the recommended holiday allowance owed to the employee or the company.

  • Click the arrow next to "How did we work this out?" to see the full calculation breakdown.

  • This figure is a recommendation only. Check it carefully and edit the amount in the "holiday days owed to [name]" box if you disagree with it.

  • If you select "Update [name]'s allowance to reflect holiday days owed to [name]?", the confirmation button changes from End Employment to End Employment and Update Holiday Allowance.

Once confirmed, a notification appears at the top of your screen. The employee will be removed from your staff directory and lose account access once the employment end date passes.

Note: Only admin users can end employment.


How do I calculate holiday owed to someone who's leaving?

When you end employee's employment (see above), Step 3 of the process automatically calculates the recommended holiday allowance owed, based on their end date and working pattern.

  • Click the arrow next to "How did we work this out?" to see the calculation breakdown.

  • This is a recommendation only — check it and edit the figure yourself if needed.

  • To apply the recalculated allowance, select "Update [name]'s allowance to reflect holiday days owed to [name]?" before confirming.


How do I set a contract end date for a temporary staff member or contractor?

If you hire contractors or other temporary staff, you can set a future employment end date to keep track of when their contract expires.

To do this, follow the same steps as ending an employee's employment, but enter a future date in Step 1.
