How to install and use HoneyBook Extend — the Chrome extension for Gmail — to make collecting leads even easier

With HoneyBook’s Google Chrome extension—HoneyBook Extend—you can add leads to HoneyBook without having to leave your Gmail, streamlining your process and allowing you to get booked even faster; and, if emails come in from contacts that already have HoneyBook projects associated with them, you can quickly check the status of that project or client right from your Gmail window. No more jumping between tabs to copy and paste all that client information that came in via email!


Installing HoneyBook Extend

2.  Search for HoneyBook Extend in the search bar.

3.  Click Add to Chrome.

4.  Click Add Extension in the pop-up that appears.

5.  Head to your Gmail, where you should now see the HoneyBook Extend icon. 

6.  Click the icon to pop open the sidebar.

7.  Click Log In, and follow the steps to log in to your HoneyBook account.

If you to pull messages into HoneyBook instead of email threads when you create projects from the extension, integrate your email with HoneyBook.


Adding leads via HoneyBook Extend

Extension installed? Sweet. Let the fun begin. 

You might run into a few different scenarios with your incoming emails, so below, we’ll detail how to handle emails where:


Whatever the case may be, begin by clicking on an email from a lead or client you’d like to add to HoneyBook. If your HoneyBook sidebar isn’t open yet, click the HB icon to pop it open.

If the sender is already a client in your HoneyBook account:

In this case, the sidebar will display any projects connected to that client. 

If you’d like to create a new project for this contact, though, just click Create a New Project. 

Enter or adjust any additional details that you have: client name & email, as well as project details like the name, type, date, lead source, etc. Don't worry if you don't know them all yet, or if they change later—you can always edit the project details down the line!

Click Save when you’re ready!


If you’d rather review this client’s existing projects, just click into any of the ones listed in the sidebar instead of creating a new project. Though you can’t create or edit files through the extension, you can click on any existing file to open it in a separate HoneyBook tab!

If the email address does not yet exist in HoneyBook: 

For brand new contacts that require a project, click Create a new Project.

Enter or adjust any additional details that you have: client name & email, as well as project details like the name, type, date, lead source, etc. Don't worry if you don't know them all yet, or if they change later—you can always edit the project details down the line!

Click Save when you’re ready!

📚 Tip

If you've integrated with your business Gmail in your HoneyBook account, the box Show this conversation in project’s activity will automatically be checked. If you do NOT want this email or thread visible in the project you create, make sure to uncheck this box.

If this box is greyed out but you'd like the option to sync Gmail communications directly to HoneyBook, make sure you turn that integration on!​

If the email thread has multiple recipients: 

For emails with more than one recipient, you’ll need to select one as the default contact for the thread. 

You’ll be prompted to select an email from the list of recipients—this contact will be assigned as the default contact for this email thread.

Click Assign Contact to Thread. Then, click Create a New Project.

Enter or adjust any additional details that you have: client name & email, as well as project details like the name, type, date, lead source, etc. Don't worry if you don't know them all yet, or if they change later—you can always edit the project details down the line!

Click Save when you’re ready!

If the email came from an outside directory or platform: 

If you've received a lead from an outside directory such as Wedding Spot, The Knot, etc., the sender email address will likely be something like an info@, contact@, or other generic email that doesn't need to be tracked in HoneyBook—but the content of the email may still have client information you’d like to add as a HoneyBook project! 

No problem. You can still add the contact and project information through the extension. Just click Create a New Project.


Enter or adjust any additional details that you have—if the lead is coming in from a directory like Wedding Spot, you should already have a bunch of this information open in the email! As with all other projects, you can add the client name & email, as well as details like the name, type, date, lead source, etc. Don't worry if you don't know them all yet, or if they change later—you can always edit the project details down the line!

Click Save when you’re ready.


Viewing an existing lead’s status and info via HoneyBook Extend

If you’ve clicked into an email that already has projects associated with the contact, you should see those projects listed in the HoneyBook sidebar under Connected Projects. Just click a project to open. 

If the email itself is in a thread that’s already connected to a specific HoneyBook project, you’ll just see that project's details automatically!


Under the Details tab, you can click Browse other Projects to review the full list of projects you share with this contact, or click Go to Workspace to open the full project workspace in another tab. You’ll also be able to review the status of the lead or client right from the extension, which will show:

  • Project participants

  • Project type

  • Project date

  • Pipeline stage

  • Lead source

Under the Files tab, you’ll be able to see any files that you’ve drafted and sent. You can also see the status of each file, including payment status on invoices.

You can click any file to open the full view in another tab!
