Creating and accessing meetings via mobile app

How to create or edit a meeting via iOS or Android app — and how to access & start them when the time comes!

Fun fact: when HoneyBook users schedule meetings with potential clients, it doubles their chances of getting booked! Not to mention all the meetings — phone calls, brainstorming sessions, video check-ins, and more — that inevitably pop up once a client is actually booked.

That's why we wanted to make it easy to create and access meetings in your HoneyBook calendar from anywhere. Enter: our mobile apps!


Creating a meeting via mobile app

1. There are two ways to create a meeting from your home screen (Pipeline view):

  • Tap the Plus (+) button, or

  • Tap the Calendar tab in your bottom navigation bar

2. From the Plus (+) button, select Meeting. From the Calendar Tab, click the Plus (+) button.

3. Enter the details of your meeting, such as the title (eg: Check-in call with Alan; Gallery Walkthrough; etc.), start and end times, and description.

At the moment, you are not able to select a meeting type (i.e. phone call, in-person, video chat, etc.) via mobile. If you'd like to add this information to a meeting later, you can edit the meeting via desktop.

Then, when the meeting time arrives, you can use the meeting type details to dial into the meeting via phone or video chat (if you've added a contact phone number and/or video chat link), or tap an address you've added to get directions to an in-person meeting.

4. If you’d like to associate this calendar event with a Project, tap Connect to a project. Then, you can:

  • Locate the correct Project in the Project list

  • Search for an existing Project by typing the Project name into the search bar

  • Create a Project by tapping Create a new project and entering the Project details

5. When you’re ready, click Save.

6. Finally, if you've connected the meeting to a Project that has participants, you can choose to notify them of the newly-scheduled meeting by tapping Notify via Email, or create the meeting without notifying by tapping Schedule Without Notifying.

If you choose to notify, all participants of the Project will receive an email that includes the details of the meeting. If you choose not to notify, the Project participants will receive no indication that a meeting has been scheduled.


Editing a meeting via mobile app

1. Locate the meeting you'd like to edit.

  • You can find the meeting from the Calendar tool itself, or, if you've linked the meeting to a Project, locate the meeting in the Project's Activity Feed and tap to open.

2. Tap the pencil icon to edit.

3. Make any change you need to the meeting details and tap Save.

4. If you've connected the meeting to a Project that has participants, you can choose to notify them of the meeting changes by tapping Notify via Email, or make changes without notifying by tapping Schedule Without Notifying.

If you choose to notify, all participants of the Project will receive an email that includes the new details of the meeting. If you choose not to notify, the Project participants will receive no indication that a meeting has been updated.


Accessing and starting meeting via mobile app

1. Locate the meeting you'd like to begin.

  • You can find the meeting from the Calendar tool itself, or, if you've linked the meeting to a Project, locate the meeting in the Project's Activity Feed and tap to open.

2. Once you've opened the meeting, you should see all the details you originally added. These details may include a phone number, a video chat link, or a physical address (though remember, these meeting type details need to be added when creating or editing a meeting via desktop).

If these details exist, simply tap the detail to start the meeting or get more info! For example:

  • Tapping a phone number will allow you to call, text, or start a FaceTime (if on iOS)

  • Tapping a video chat link (i.e. a Google Meet link, a Zoom link, etc.) will open the video chat

  • Tapping an address will open the location in your device's native maps app, so you can easily get directions
