How to edit and send smart files via the HoneyBook app

Since you live your life on the go, smart files must follow! Now, you can use your mobile app to send smart files out to your clients.

Right now, you can send existing smart files templates or smart files that you drafted via desktop, as well as create basic smart files from scratch that include text, images, and contracts. Whichever smart file you choose to send, you can make changes to basic elements (edit contract elements like text, smart fields, and signature lines; add or edit text and images; or move and delete information), and send to your clients.

At the moment, you are only able to add text, images, contracts, and invoices when creating a smart file from scratch via mobile. We're working to expand that functionality, and in the meantime, you can still use your mobile app to send smart file templates or smart files drafted on desktop that contain other details.

Select an existing or create a new smart file to share

1. Find or create the project that requires a smart file, as smart files need to be associated with an existing project.

  • Find a project: search via the search icon at the top of your app's home screen (Pipeline view), or locate the project from the project list in your pipeline

  • Create a project: learn how here

2. Once in the project, tap the Create button.

3. Choose how you'd like to start building your smart file:

  • Select a template from a folder, or by locating in the all smart file templates section

  • Tap the Recent tab to start from a recently-sent smart file

  • Tap Start from a blank smart file to start from scratch

At the moment, you are only able to add text, images, contracts, and invoices when creating a smart file from scratch via mobile. We're working to expand that functionality, and in the meantime, you can still use your mobile app to send smart file templates or smart files drafted on desktop that contain other details. Here's how to create your full smart files on desktop.


Edit the smart file via mobile

  • Add or edit a contract block: tap the purple plus button and select contract. Then, make any changes you need

  • Add or edit an invoice & pay block: tap the purple plus button and select invoice & pay. Then, make any changes you need

  • Add a new text block or image block: tap the purple plus button, select your layout, then edit your block

  • Add a new element to an existing block: tap a block, then tap one of the small plus buttons to add text or an image

  • Edit image blocks: tap the image to open the block settings (background color or image, background opacity, etc.) for that block

  • Edit text blocks: tap the block once to open the block settings (background color or image, background opacity, etc.). Tap again to edit the text content or formatting.

  • Delete blocks: tap a block, then tap the trash can icon

  • Rearrange blocks: tap a block, then tap the move icon to choose its new location


Share the smart file via mobile

1. When you've followed the steps above and are ready to share your smart file, click Share.

a. You can only attach one HoneyBook smart file per email.

2. Choose whether you'd like to share your smart file via email, or create a direct link to share with project participants via text, DM, or any other avenue.

  • Via email: Enter the subject line and the body of the email (or, select a previously-saved email template), then tap Send.

  • Via direct link: Tap the link to copy and send elsewhere, or tap Share Link to quickly share via text or DM. Creating a direct link will change the status of the smart file to "sent," but will not actually send anything out on your behalf.

Now, your client will be able to open and take action on their smart file from any device, and you can track their progress.
