How to open and edit legacy file templates in the smart files builder

Recently upgrade your account from legacy files to smart files? Congratulations! It's an exciting new world, and we're here to guide you through the changes.

Smart files allow you the same functionality you’ve come to know—you can send simple invoices, contracts, brochures, and more—but streamlined, and with a new world of capabilities and customization. Create cohesive, delightful experiences that guide clients through multiple steps in your process, or simply customize & update your legacy file templates with some new smart files features.


Which files were automatically converted

Any legacy files—invoices, contracts, proposals, questionnaires, or brochures—that you had saved as templates when you upgraded to smart files were automatically converted!

To access your legacy files as smart file templates, simply navigate to Tools > My Templates.

If you've created or edited any legacy files in the time since you upgraded to smart files, it’s easy to manually convert those, too. We’ll cover the steps below!

And don't worry—all of your legacy files are still available in their original form, too. Nothing has been deleted! You can access them in the Legacy Templates tab of your Templates section, and you will still be able to send it to clients.


Manually converting a file

When you convert a legacy file, all of the content stays the same, but more design and content customization options become available to you. You can simply save or send the resulting smart file as is, without adding any extra prep time; or, take a few minutes to jazz it up or include more elements of your process.

1. First, locate the template that you’d like to convert. From your My Templates section, head to the Legacy Templates tab to find your legacy file templates, then click to open.

2. Your template will open in the legacy file builder. In the top banner, click TRY SMART FILES.

PLEASE NOTE: Clicking here will not delete or override the original legacy file template—you will still be able to access it in the Legacy Templates tab of your Templates section, and you will still be able to send it to clients.

3. The content of your legacy file will open in the smart files builder as a smart file template. From here, you can make any changes you need using the new smart file capabilities, or just keep it as is. As always, just click Update Template to save any edits, and click Use Template if you’d like to send that smart file to a client.

  • HoneyBook Tip: We recommend giving the new template a unique name by clicking the title at the top.

Now, you’ll be able to access this template as a smart file from your My Templates tab!

And, once you’ve converted your legacy files, you can take your templates a step further by organizing your smart file templates into folders.
