Frequently Asked Questions on Billing Terms (2021.01.04)

With effect from 1 Feb 2021, customers will be on our new Billing Terms.

Kindly refer to the terms below:


When will I be billed?

You are billed on the 1st of each month, based on employees who have access to our modules on the last day of the previous month. Your invoice is a pre-paid bill.

How am I billed for the payroll module?

You are billed for the total number of employees (as at the last day of each month) that is set as drawing salary on their Employee Basic Info tab (here).

I have an admin staff that runs payroll for my company. Will he/she be billed?

Administrators that do not draw salary (set on their Employee Basic Info tab) will not be billed for the payroll module. Staff management module is complimentary.

How am I billed for the leave module?

You are billed for the total number of employees that have access to the leave module (as at the last day of each month). Employees who have access include Administrators and Approvers.

With reference to Getting Started with Leave, you are billed for the following employees:

1. Administrators with any of the following three leave permissions assigned:

  • Leave Manager

  • Recommending Leave Officer

  • Approving Leave Officer

2. Employees that have at least one leave type assigned to them.

How am I billed for the claims module?

You are billed for the total number of employees that have access to the claims module (as at the last day of each month). Employees who have access include Administrators and Approvers.

With reference to Getting Started with Claim, you are billed for the following employees:

1. Administrators with any of the following three claim permissions assigned:

  • Claim Manager

  • Recommending Claim Officer

  • Approving Claim Officer

2. Employees that have at least one claim type assigned to them.

How am I billed for the time attendance module?

You are billed for the total number of employees that have access to the time attendance module (as at the last day of each month). Employees who have access include Administrators and Approvers.

How am I billed for the face recognition module?

You are billed for the total number of employees that have access to the Face Recognition add-on (as at the last day of each month). Employees who have access include Administrators and Approvers.

I made an upfront payment. How will my subscription be affected by the new billing terms in 2021?

Customers that have made (annual) upfront payments will not be affected; changes for upfront payments will only take effect upon the next renewal cycle. We will honour your subscription to the end of the period paid for. Monthly, you will be billed for additional employees that exceed the prepaid quantity.

I have signed up for trial. When do I receive my first bill?

You will receive your first bill when your trial ends. Subsequently, you will receive your bill on the first day of every month, for the upcoming month’s subscription fees.

How do I cancel my subscription?

All cancellations will take effect on the next subscription renewal. We will not provide any refunds of prepaid fees or unused subscription fees. Instead, you will be able to access your account until the next renewal date (which you will no longer renew).

My employee has resigned before the end of the month. Will I receive any refund for his/her subscription?

No refunds will be provided for the remaining period of the subscription. If there are no new joiners for the rest of the month, the quantity in your next bill will be reduced by one.

I have a new joiner in the month. Will their subscription be pro-rated?

Their subscription will not be prorated and you will not incur any additional charges for your current subscription term. Instead, your subscription fees will increase at the beginning of the next billing period.
