How to control who uses timesheets within your organisation

In this guide, you'll how to customise and assign roles that define which users can use timesheets.


  1. Disabling access in the default user role

If you want to select a specific set of users to access timesheets, firs tyou will need to disable permissions for the default user role:

  • In the Home menu, click Settings, then Permissions,

  • Click Users, and scroll down to Timesheets under the Data points section.

  • Disable all timesheets permissions.

  • Save your changes


2. Creating a Custom Role

You can then create a new custom role. This role will be for the subset of users that you want to access timesheets. The only permissions you need to enable for this role are the timesheets permissions that you removed for the default user role.

  • In the top right hand corner of Permissions, click Create custom role.

  • Under Profile permissions, click Own profile.

  • Scroll down to Timesheets under the Data points section.

  • Enable the following permissions:

Can view timesheets

Can submit timesheets

  • Once the permissions have been set, add in all users that you want to have access to timesheets by adding them through the Members section of the role.

Once added, these users will have all the permissions of the default User role, while also having access to Timesheets.


Other considerations

It's important to consider that managing permissions currently requires you to manually add users to specific roles or permission sets.

If you user our workflows feature, you can create a reminder for a user with owner permissions to add users to the Timesheets permissions as part of their Onboarding. In the example below, users within a specific location need to be added to the timesheets permission, so an enrolment trigger with a location based trigger was used.
