Creating a performance review cycle

Performance cycles in Humaans help streamline the review process, allowing for effective tracking and management of performance evaluations. This guide will walk you through the process of creating performance cycles.


Accessing the Performance section

  1. Log into Humaans.

  2. Click Performance in the home menu on the left.

In the Performance section, you will see:

  • Draft Cycles: Performance cycles created but not yet scheduled.

  • Upcoming Cycles: Performance cycles that waiting to be activated*.

  • Active Cycles: Ongoing performance reviews.

  • Cancelled/Completed Cycles: Past performance reviews that have been finalised.


Creating a Performance cycle

  1. Click Create Review Cycle in the top right corner.

  2. A creation menu will appear with different configuration tabs: Details, Timeline, and Questions.

  3. You have the option to schedule a performance cycle immediately or leave it as a draft.


Configuring enrolment

  1. Under Enrolment, decide who will be included in the performance cycle:

    • Everyone (default)

    • Specific departments, teams, or locations

    • Individual users

  2. You can also exclude specific users if necessary. Anyone that is within the Excluded list will not be a participant within the performance cycle.


Setting the schedule

You can choose between two scheduling options:

  • One-time Review: Select a specific date for the performance cycle to go live.

  • Recurring Review: Set up an automated review cycle at a frequency of annually, biannually, quarterly, or monthly. When the current review cycle moves to active, the next cycle will crated and placed within the Upcoming status.


Configuring review scopes

A performance cycle can include any combination of the following review types:

  1. Self-Review – Employees assess their own performance.

  2. Manager Review – Managers provide feedback on their direct reports.

  3. Peer Review – Employees receive feedback from their chosen peers.

  4. Upward Review – Employees provide feedback about their managers.


Managing review visibility

You can choose who can view completed reviews:

  • Managers

  • Participants

You can also decide whether managers see reviews immediately or after the entire cycle is completed.


Configuring peer nominations

If you have selected a Peer review scope as part of your performance cycle, you can set the number of minimum and maximum peer reviewers each participant can select.


Setting timeline and deadlines

Once you are happy with the Details of the cycle, you can move over to Timeline in the top left-hand corner.

Once clicked, you can view the timeline displaying start and end dates for each review scope.

You can adjust deadlines for each stage of the review cycle (e.g. self-review completion, peer review submission, etc.). For example, you can set the review cycle for Self review to close 7 days after kickoff, while keeping Manager reviews open until 14 days after kick-off. This sets deadlines for the review tasks to be completed - all reviews will be sent once the cycle is set to Active.


Customising review questions

Once the timeline is decided on, you can move to the third and final tab of the performance cycle setup; Questions.

Under the Questions section, you can create the questions and style each performance review scope form.

The available options are:

Question elements:

  1. Rating field

  2. Scale field

  3. Text field

  4. Long text field

  5. Single choice

  6. Multiple choice

Styling elements:

  1. Heading

  2. Text area

  3. Divider

You can drag and drop question these elements into the review form, and rearrange the structure as needed.

Clicking on Question types in the form will allow you to name the questions, add placeholder text and decide if the question is required to submit.


Finalising and launching the cycle

  1. Click Save to keep the draft.

  2. To launch immediately, click Start Review Cycle.

  3. After launching, the overview section will show:

    • Progress tracking

    • Pending review tasks

    • List of users who have incomplete reviews.
