Using documents for eSignature

Create and send a document for eSignature by email

With our documents for eSignature feature, you can send, sign, and securely store contracts and key documents directly in Humaans. This makes it effortless to manage documents at scale while keeping everything in one place.

Send one-time documents or reusable templates to employees and external recipients for eSignature, and personalise them using dynamic profile fields that automatically pull employee data from user profiles. You can even bulk send individualised documents in just a few clicks.

Before you begin

If an email displays a Blocked status, this is because there was an error and it bounced. You can resend any failed documents.

Permissions

You can assign eSignature permissions to any company wide permission role.

Employees can view and create eSignature documents based on their role-specific permissions.

Notifications

The sender will receive email notifications when:

  • Each recipient fills the document information required and completes their signing process.

  • The document signing process is completed by all.

These are the options for creating a document for eSignature:

Managing and viewing documents for eSignature

To access documents for signature, click Documents in the left-hand side menu. Not to be confused with Documents within Settings, which is for any uploaded documents added to user profiles.

On the main page, under All, each document is listed with the date it was last edited, status, and recipients.

Document statuses

A great way of tracking the progress of each document or bulk send is by checking its status. Each status has a set of different actions. To access these, click the icon.

  • Completed: View

  • Cancelled: View

  • Pending: View and Recall document

  • Draft: Edit and Delete

    • Note: Currently, it’s only possible to remove draft documents.

  • Blocked: View, Resend emails, and Recall documents

  • Expired: View

Tip: A document will expire once it reaches its expiration date set by the sender. Recipients can securely request a refreshed link to access the document.

Bulk send documents are denoted by a purple folder icon. You can check the status of individual documents by clicking Open. The same statuses and actions mentioned above apply to each individual document within a bulk send.

Searching for documents

Use the tabs All, Pending, Draft, Completed, Expired, and Failed to view lists of relevant documents.

Find a specific document using the search bar.

Use the sort tool to rearrange the order of documents based on recipient name, document name, document status, and date it was last modified.
