Receiving a document for eSignature

View, sign, and complete the eSignature process as the recipient

Before you begin

  • Signed documents are securely sealed with digital tamper-evident seals.

  • You can download a completed document for eSignature as a PDF file.

  • The recipient must click Finish in the top right-hand corner in order to complete the signing process.

  • If a document expires before the recipient signs it, they can securely request a refreshed link.

  • As an alternative to viewing and completing an eSignature document in your email inbox, you can do so within My tasks as well.

Actions taken by recipient

All recipients will receive the document by email. If they have a Humaans account, they can open it in My tasks as well. To access the document for eSignature, the recipient must click Review document.

The recipient should see a clickable signature field to sign. They may also have to fill out custom text fields and a date field if added. If multiple people are signing, they will see the other recipient's signature fields greyed out.

To fully complete a document for eSignature and ensure it sends to the next recipient in line, the recipient must:

  • Click the signature block, and add their name.

  • Check the box beside “I agree to the use of electronic records and signatures.”

  • Click Sign document.

  • Fill out any custom text or date fields.

  • Click Finish in the top right-hand corner.

Only when the recipient has completed these steps will the next recipient receive an email with the document for eSignature.

Downloading a completed document

Once the document signing process is completed, you can download it as a PDF file. Click Download document in the top-right corner to automatically download a PDF copy, which will open in a new tab.

If you scroll to the last page of the document, you’ll see an Electronic Signing Certificate.

Note: Humaans provides Simple Electronic Signatures (SES), which are legally valid for HR documents in the EU, under eIDAS, and UK (and equivalent UK rules). For each signed document, Humaans provides a complete evidence package that includes clear signer intent, a detailed audit trail, and a tamper-evident digital seal to ensure the document's integrity.

Expired documents

A document for eSignature will only expire if an expiration date is set by the sender.

Recipients have the option of requesting a refreshed link, which will automatically resend to their email.

Viewing documents in My tasks

If the recipient of the document has a Humaans account, they’ll see the document for eSignature appear in My tasks.

Under Documents, hover over the document for eSignature and click Open document. If the document has expired, click Request new link and reopen it from the My tasks page.
