Team task assignments for Workflows

Learn how to assign workflow tasks to teams and how team members can claim and reassign tasks.

Overview

Team task assignments let you assign workflow tasks to an entire team rather than a specific individual. Any member of the assigned team can then pick up and complete the task, giving your organisation more flexibility in how work gets done.

This is especially useful when multiple people share responsibility for a process — for example, assigning an equipment setup task to your IT team or a benefits enrolment task to your People Operations team.

How team task assignments work

When you build a workflow and add a task action, you can choose who the task should be assigned to. In addition to assigning tasks to a specific person or dynamic role (such as the new hire's manager), you can assign a task to a team.

To set up a team assignment, select a team from the assignee options when configuring a task inside the workflow editor. The team is identified by its name and associated space, so make sure the team you want is already set up under your company's spaces.

Claiming a team task

Once a workflow runs and creates a team-assigned task, every member of that team will see the task in their task list. The task initially appears as unclaimed — it belongs to the team but no single person has taken ownership yet.

To claim a task, simply open it and assign yourself. Once you claim it, the task moves to your personal task list and other team members will see that it has been picked up.

Reassigning a team task

If you have claimed a team task but need someone else on your team to handle it, you can reassign it to another member of the same team. The task stays linked to the original team — only the individual assignee changes.

Note that you can only reassign team tasks to members within the same team. You cannot reassign a team task to someone outside the team unless you have admin-level permissions.

Assignment types at a glance

When setting up a task in a workflow, you can choose from these assignee types:

  • Specific person — assign to a named individual

  • Dynamic role — assign to the subject's manager or another role that is resolved when the workflow runs

  • Team — assign to an entire team so any member can claim it

  • Custom field value — assign based on a person-type custom field on the subject's profile

Each task supports exactly one assignee type at a time. For example, you cannot assign a task to both a specific person and a team simultaneously.

Tips

  • Use team assignments for tasks where the workload should be shared across a group.

  • Encourage team members to claim tasks promptly so nothing falls through the cracks.

  • If a team member is unavailable, any other member of the same team can reassign the task to themselves.
