What is the Workflows AI?
The Workflows AI is an AI-powered workflow builder that helps you create complete HR workflows in seconds. Instead of manually adding each step one by one, simply describe what you need in plain language and the AI builds a comprehensive workflow for you — including tasks, emails, forms, and conditional logic.
Getting started
To build a workflow with AI:
Navigate to Workflows in the sidebar.
Click Build with AI.
Describe the goal of your workflow in the text field — for example, "An onboarding workflow for full-time employees in our London office".
Optionally, attach a document with your existing process. Supported formats include PDF, Excel (.xlsx), CSV, TXT, Markdown, JSON, and XML (up to 10 MB).
Click Create.

What the AI builds for you
Once you describe your workflow, an AI chat panel opens and immediately starts building. The AI creates a comprehensive starting point that typically includes:
Trigger configuration — the AI sets the appropriate trigger (manual, onboarding, offboarding, or date-based) based on your description.
Task groups — organised into logical phases (e.g. pre-boarding, first day, first week). Each group contains multiple detailed tasks with descriptions, assignees, and due dates.
Emails — welcome emails, manager notifications, reminders, and other communications personalised with employee details like name, start date, and job title.
Forms — data collection forms for gathering information such as personal details, bank information, or equipment preferences.
Conditional branches — if/else logic based on department, job title, location, or other employee attributes to tailor the workflow for different scenarios.
Uploading documents for context
If you already have an existing process documented, you can attach it when creating your workflow. The AI reads the content and uses it to build a workflow that matches your existing process.
You can also attach documents during the conversation in the AI chat panel to provide additional context at any point.

Working with the AI chat
After the initial workflow is built, you can continue chatting with the AI to refine it:
Ask the AI to add, remove, or modify specific steps.
Request changes to email content or recipients.
Add conditional logic for different departments or locations.
Ask questions about how your workflow is configured.
Upload additional documents for the AI to reference.
The AI makes changes directly to your workflow — you’ll see updates appear in the workflow editor in real time.
Editing and publishing
The workflow the AI creates is a starting point. Before publishing, review and adjust it in the workflow editor:
Reorder, edit, or remove any actions the AI created.
Fine-tune task descriptions, due dates, and assignees.
Adjust email content and recipients.
Configure enrolment filters if your workflow targets a specific group of employees.
When you’re satisfied, publish the workflow to make it active.
Tips for best results
Be specific — mention the country, office, or department if relevant (e.g. "Onboarding for engineers in our Berlin office" rather than just "Onboarding").
Describe the full process — the more detail you provide, the more comprehensive the workflow will be.
Attach existing documents — if you have a checklist, policy document, or spreadsheet, upload it so the AI can build from it.
Iterate in the chat — use the AI chat to refine the workflow step by step rather than starting over.
Start broad, then refine — let the AI generate a full skeleton first, then ask for specific adjustments.
