Saving and managing reports

How to save, share, edit, and delete reports in Humaans

Once you have configured a report with your desired fields and filters, you can save it for future use. This guide covers saving, sharing, editing, and deleting reports.


Saving a report

To save a report for reuse:

  1. Open the Export data window (either from a template or by creating a custom report).

  2. Configure your report type, date range, filters, and data fields.

  3. Click Save as... at the bottom of the window.

  4. Enter a Name for the report.

  5. Select the Date range that will be used each time the report runs. Choose from presets (Current month, Current year, Previous month, Previous 3 months, Previous 12 months, All time) or set a Custom range.

  6. Click Save report.


Private vs shared reports

When saving a report, you can choose its visibility:

Private reports

By default, saved reports are private. Only you can see and use them. Private reports appear in the Private section on the Reports page, marked with a lock icon.

Shared reports

To share a report with your team:

  1. In the Save report dialog, enable the Shared report toggle.

  2. The report will become visible to all users with Owner, Admin, and Finance roles.

Shared reports appear in the Shared section on the Reports page. A tooltip on the section header confirms who can see them.

The Shared report option is only available if you have permission to create shared reports.


Editing a saved report

To edit a saved report:

  1. Find the report in the Private, Shared, or Scheduled section.

  2. Click the three-dot menu (...) to the right of the report name.

  3. Select Edit.

  4. The edit dialog opens where you can change the name, date range, sharing settings, and schedule.

  5. To change the data fields and filters, click Edit next to the Report data section.

  6. Click Update report to save your changes.

Only the creator of a shared report can edit it, unless you have the edit others' shared reports permission.


Downloading a saved report

To download data from a saved report:

  • Unscheduled reports: Click the report name to open the export window, then click Download CSV (or Download XLSX for payroll reports).

  • Scheduled reports: Open the edit dialog and click Download CSV/Download XLSX at the bottom.


Deleting a saved report

To delete a saved report:

  1. Click the three-dot menu (...) next to the report.

  2. Select Delete.

  3. Confirm the deletion.

Deleting a scheduled report will also stop all future deliveries.


Viewing report details

For shared reports, each report shows a Last used timestamp and the name of who created it (visible on hover).

For scheduled reports, each report shows its frequency (e.g. "Weekly on Monday", "Monthly on the 1st"). Click the info icon to see additional details including:

  • Last sent β€” when the report was last delivered

  • Next delivery β€” when the next scheduled delivery will occur

  • Report owner β€” who created the report

  • Recipients or SFTP details β€” where the report is delivered
