Permissions: User Roles and Access

A quick guide to Humaans roles and their access levels

In this guide, we'll discuss the different role types available to users, what access these roles have, and how owners can manage access to different data points throughout their Humaans account.


Role types

There are 4 Super admin roles in Humaans. They can be set in Settings under Permissions.

Owners: Have full view and edit access of all profiles and info in the platform. Only Owners can set user permissions

Admins: Have full view and edit access of all profiles. Access to salary info and documents can be restricted.

Finance: Have full view access for profiles including salary and can manage the subscription. their access to salary and documents can be restricted.
​Tech: Can view all profiles with restricted access to Basic and Employment info. They can edit and report on Equipment data.

Owners, Admins and Finance users can:

  • Create, edit and assign Workflows

  • View the Insights dashboard (except salary where restricted)

  • Export data for reports (except fields where restricted)

  • Manage advanced notifications

Owners and Admins can also:

  • Manage PTO policies and Custom time away

  • Add Custom fields

  • Enable Integrations


Assigning roles and access

Only Owners can assign roles. You can assign a role with the following steps:

  • In the Home menu, click Settings, then click Permissions.

  • Under Super admin roles, click Add or remove roles.

  • A pop-up window showing the current super admin roles will appear. You can change the role type by clicking their current role.

  • To delete a user's role, click Remove.

  • To create a new role for a user, type their name into the Add more section.


Managing access

Owners can change access to certain fields and data points from the default settings. To do this, follow these steps:

  • In the Home menu, click Settings, then click Permissions.

  • Scroll down to Manage access, and click Edit on the permission point you wish to review/change.

  • Each role will have two checkboxes which allow them to either view or edit the data point in question.

  • When you are ready, click Save.

Owners can similarly change who can view/edit document types within Humaans in Settings > Permissions. For more, see Managing employee documents.


Limited access roles

Owners can also assign non super admin users to limited access roles, which gives a user the ability to edit or view profiles of employees in particular Departments, Locations or a combination of both. You can learn more about limited access roles here.


Managers

Managers can view the profiles of their direct reports and their reports. They can see basic user, employment and emergency contact info. They an also extract any data points they have access to view in Reports.

They can view the Manage time away tab of their reports to review and Approve / Decline PTO requests. When reports request time off managers will receive a notification to review and a task will appear in the My tasks sections

There is no need to assign users as Managers. They will have these abilities on having reports assigned to them.


Common features

All users have access to:

  • View and edit their Personal Information, view their Employment info, Identification and Documents

  • View the People directory and public profiles of other employees

  • Register time off

  • View Who's away and export their calendars

  • Review their assigned, completed and upcoming tasks in My tasks
