Effectively manage the notifications you wish to receive from Humaans.

Email notifications are a helpful way to stay up-to-date with changes and events in your organisation. In this guide, you'll learn how to manage email notifications from Humaans. We'll walk you through the different types of notifications, and how to customise them to suit your needs.


Customising email notifications

Humaans allows you to customise your email notification settings:

  1. In the Home menu, click the ... icon next to your profile image in the top left-hand corner.

  2. Click Manage notifications.

  3. Check the notifications you want to receive.

  4. Save your changes.


Understanding email notifications

Humaans offers various email notifications that can be sent to you and your team members. These notifications include:

  • Weekly event summaries

  • Time away requests

  • Address and Banking changes

  • Task Assignments

  • Birthday notifications

  • Identity document expiry notifications


Weekly event summary

The Weekly event summary is sent every Friday and gives a summary of the next week’s upcoming events.


Time away requests

Time away emails will be triggered when employees enter requests into Humaans. There are two kinds of notifications you can enable and disable:

  • Your direct reports registering or cancelling time away

  • Employees with no line manager registering or cancelling time away

The email notification will tell you:

  • Who has made the request

  • The type of Time away request

  • The dates requested

  • Any notes attached by the employee

  • The remainder of their balance if approved

As a note, if time away requests require approval in your organisation, they will always get sent a notification to the manager or the closest associated Admin/Owner for review.


Changes to address and banking details

These emails will trigger when a user changes their address or banking details letting Owners and finance users know this info should be updated for any outside payroll reporting


Task assignments

Task assignment emails will trigger when a user is assigned a new task/tasks.

The email notification will describe:

  • How many tasks you have been assigned

  • The Workflow the tasks are pertaining to

  • Who the tasks are related to

  • The individual tasks and their due date

If a task is assigned to someone while they are outside working hours, the email will be sent the following day at 6am in the recipient's local timezone.


Birthday notifications

All employees can opt in/out from sharing birthday information with the rest of the company. If you opt out - we will no longer show or send any message related to their birthday. If you opt out, the following will occur:

  • Updates from our Slack integration will not include your birthday.

  • Event summary emails won’t include your birthday.

  • Your birthday will not be shown in the Events tab, or in the directory as a badge.

Please be aware that this will not affect accounts that have permissions to view your Date of birth. Users with access to your date of birth data (eg. Owners, Admins) will be able to see it even if you opt out sharing your birthday.


Identity document expiry notifications

Users can receive an email notification whenever any of their/their reports identity docs is about to expire. These notifications occur when the document is 90, 60 days away from expiry, and on the day of expiration.

  • Users will always get an email notification about their own Identification document's expiration.

  • Users with Owner, Admin, Editor, Finance or Viewer permissions can also receive an email about each their reports’ documents. They can opt in/out of receiving these email via notifications settings.


Managing Slack Notifications

If you have Slack integrated with Humaans, our app will send you and your users time away notifications in the following scenarios:

  • When a direct report registers or cancels time away.

  • When your time away requests get approved or declined.

  • An employee with no line manager registers or cancels time away (this option only appears for users with the correct permissions).

If you would like individuals to control whether they can enable/disable these notifications in Slack, follow these steps:

  • In the Home menu, click Integrations, then click Configure within Slack’s card.

  • Scroll down and enable the Individual notifications option, then save your changes by clicking Update settings.

Users can then manage Slack notifications within their own Humaans account:

  • In the Home menu, click the … icon next to your profile image.

  • Select Manage notifications, then decide which time away notifications you’d like to receive through Slack.

If an employee's email address in Humaans does not match the email they have linked in Slack, they will not receive the notifications. We can only provide time away notifications to Slack if their Humaans+Slack email is updated to match.
